The ICRC is looking for a suitable candidate to fill the position of:

WatHab Administrative Assistant 1

Contract type: Open ended

Duty station: Hodeidah

Purpose 

The WatHab Administrative Assistant 1 is part of the Water and Habitat team in the ICRC Sub-Delegation in Hodeidah, which follows all water projects and renovation of health facilities. He/she will be responsible for the administrative follow-up of all projects incl. official paper and electronic correspondence and documentation, treatment of invoices, the management of ICRC specialized tools and databases, internal and external organization of meetings, and overall secretarial tasks of the WatHab engineering department.

Key responsibilities 

  • Managing the department online database of digital paperwork’s in web based collective space.
  • Assisting the WatHab engineers to facilitate the processing of payment, supporting documents, etc.
  • Liaise with the Logistic team in terms of project request, contract, monthly/yearly forecast, and other necessary documents for WatHab related project procurement.
  • Preparing draft reply, quick translation, and formal reply to interlocutors, including official letter, MoU/LoA, Invitations, Minutes of Meetings.
  • Participate in various training to build and expand the administrative capacity of the team.
  • Ensure proper communication flow between the WatHab teams in Hodeidah and Sana’a.

Requirements

  • High school diploma or equivalent training.
  • Two years' experience in a secretarial position.
  • Excellent command of English (written and spoken); other additional languages is considered as an asset.
  • Computer skills, including Microsoft Office suite (Word and Excel), SharePoint and Microsoft TeamSpace.
  • Two years' experience in a secretarial position, or excellent organizing skill.
