Location:  Aden office with mobility for other offices

Duration:  6 Months (Renewable based on funding availability and performance).

Probationary Period: Three months

Reporting to: Finance Manager

Mayar foundation for development (MFD), is a non-governmental and non-profit institution. It was established on 12/12/2012 with license number (1019) by the ministry of social affairs and labor. The main working area of MFD is the republic of Yemen, specializing in the work of developing youth capabilities and preparing quality community leaders that contribute to the development of the society in various areas of life. In addition, MFD Also work in responding to the populations with urgent needs and helping creative people by uncovering their hobbies and innovations. Job Description:

  • Checking all payment claims to ensure compliance with MFD’s policy & procedures, donors’ requirements and Yemeni laws and regulations.
  • Ensure that all financial transactions are supported by documents for disbursement of cash to suppliers, contractors, beneficiaries.
  • Ensure appropriate segregation of duties for each & every financial management task.
  • Actively participate in Budget vs. Actual review meetings.
  • Prepare/review bank and cash, financial data entry on a daily basis.
  • On monthly basis follow-up prepayments and accruals such as (rent, Internet service, etc.) and scheduling the accounting system.
  • Ensure preparation of monthly salary allocations for the projects' staff in close coordination with Human Resource (HR) and finance manager.
  • Ensure that daily financial matters are handled in a systematic, accurate and transparent manner.
  • Monitor cash & bank flows on a daily basis and maintain close coordination with financial institutions to ensure smooth cash flows.
  • Assist finance teams during: Internal & external audit, donor specific audit, any authorized third-party review of financial records.
  • Understand financial & compliance aspects of donor funded portfolio and understand donor financial compliance requirements.
  • Submit all Internal & external and final financial reports of the project in a timely manner.
  • Review the official e-mails on a daily basis, respond to queries from colleagues and donors in a timely and appropriate manner.

Duties and responsibilities:

  • Maintain complete books of accounts, as by MFD’s Finance Operational Manual.
  • Checking all payments claims to ensure compliance with MFD’s policy & procedures, donor’s requirements, Yemeni laws and regulations.
  • Ensure that all financial transactions are supported by documents for disbursement of cash to suppliers, contractors, beneficiaries.
  • Assist finance manager and internal auditor to strengthen internal controls & control environment.
  • Ensure appropriate segregation of duties for each & every financial management task and transaction.
  • Prepare donors requirements including Budget vs. Actual report.
  • Prepare/review bank and cash, financial data on a daily basis.
  • On monthly basis follow-up prepayments and accruals such as (rent, Internet service..etc.) and manage schedule on Quickbooks accounting system.
  • Ensure preparation of staff monthly salary allocations in close coordination with Human Resource (HR) and finance manager.
  • Ensure that expenses prepared and recorded based on the shared cost sheet.
  • Ensure to update the exchange rate sheet for the foreign currencies based on the official bank exchange rates.
  • Ensure financial transactions are recorded based on the updated official exchange rate.
  • Ensure that monthly bank reconciliations for all bank accounts are prepared on regularly basis.
  • Ensure to submit all reports before it’s deadline.
  • Ensure all vouchers are kept properly in both hard and soft copies.
  • Assist finance manager in tracing accounts' balance sheets on monthly basis and at the end of each project.
  • Maintain asset & liabilities' monthly schedules & reconciliations & ensure that all balances are reconciled with QuickBooks accounting system, and be ready to provide financial data at any time if needed.
  • Ensure that daily financial matters are handled in a systematic, accurate and transparent manner.
  • Monitor cash & bank flows on a daily basis and maintain close coordination with financial institutions to ensure smooth cash flow.
  • If due to unforeseen reasons banking services was not available, any alternative arrangements should be arranged with prior consent of respective program manager or finance manager.
  • Assist finance teams during Internal & external audit, donor specific audit or any authorized third-party review of financial records.
  • Closely work with program coordinator to fully understand financial & compliance aspects of the donor's funded portfolio and understand the donor's financial compliance requirements.
  • Maintain working relationship with MFD partners and support offices to ensure smooth financial implementation of projects.
  • Submit all Internal & external financial reports in a timely manner.
  • Review the official e-mails on a daily basis, respond to queries from colleagues and suppliers in a timely and appropriate manner, and ensure any problematic issues are raised to the program coordinator as soon as possible.
  • Any other related duties as assigned by direct supervisor.

Job Requirement:

  1. Bachelor’s Degree in accounting is required.
  2. Minimum of 3 years of relevant experience.
  3. Knowledge of computerized accounting software, preferably QuickBooks accounting system and high-level of Microsoft Excel.
  4. Prior working experience with NGOs.
  5. Very Good communication and reporting skills in written and spoken English.
  6. Excellent in using Microsoft office including (word, excel, power point and emails).
