Procurement assistant – Country Office

Position Objectives:

Save the Children International (SCI) Yemen Country Programme has an annual budget of around USD 70 million and growing, working mainly on the humanitarian response to the ongoing conflict and its impact including more recently on the cholera outbreak. The SCI Yemen has over 700 staff and 1500 volunteers and works in nine governorates in the north and south of the country through seven field offices and two sub-offices in addition to the main office in Sana’a
The procurement Assistant has the responsibility to assist in with the delivery of timely, effective and accountable Procurement support to the Save the Children field team in the country programme.

KEY AREAS OF ACCOUNTABILITY:

  • Ensure that Save the Children minimum standards of archiving system are adhered to.
  • Assisting the procurement officer in all related tasks.
  • Updating and maintaining the procurement tracker
  • Receiving the Procurement request and prepare the RFQs and the related tender documents.
  • In collaboration with the Procurement officer, processes the requisitions sent by the field sites.
  • Seeks for signatures as per the procurement procedure.
  • Perform data entry into procurement sheets
  • Conduct field market search for new suitable and competitive suppliers
  • Maintain and update suppliers’ database in all procurement categories
  • Scan all procurement processes papers and maintain a full soft archive
  • Covering procurement officer role when needed
  • Participate in checking the goods when received to the warehouse
  • Ensure that Save the Children minimum standards of archiving system are adhered to.
  • Processing payments for completed procurements ensuring acknowledgement in terms of GRNs, Completion Certificate and waybills.
  •    Follow up finance to know the payment status and update the suppliers.
  • Assist the Logistic officer in maintaining up to date Procurement documents and Manuals & updating database.
  • Provide purchased materials to the responsible receiving office and do all actions for completing the process. Perform other duties related field as assigned by supervisor.

QUALIFICATIONS 

  • University level professional qualification/degree in business administration or relative

EXPERIENCE AND SKILLS

  • Experience in supply chain management including procurement,
  • Experience in data management (excel and word)
  • Proficient IT skills.
  • Proficiency in written and spoken English.
