Logistics Assistant

Location of position: Taiz City, Yemen

I. Presentation of organization

Solidarités International (SI) is a French humanitarian organization, which has been committed to provide aid in the event of conflicts and natural disasters. SI mission is to provide aid as quickly and as efficiently as possible to endangered populations by meeting their vital needs: drinking water, food, and shelter.

SI has opened a mission in Yemen since mid-September 2017. The mission is currently running various projects with an integrated FSL and WASH approach in Taiz governorate.

The position will be based, in Taiz City, Yemen.

II. Responsibilities and Tasks

Goal / Purpose:

The logistics assistant supports the logistician implementing and supervising some logistical activities at his/her assigned base, Taiz City.

In particular, he/she lends support to carrying out urgent activities and the filing and archiving logistical documents

List of main tasks:

Management of vehicle fleet

  • Assist in the planning and execution of maintenance and repair work on mission vehicles
  • Draw up the vehicle schedule
  • Ensure that a complete breakdown kit is available on board all vehicles
  • Check that vehicle log books are in place and are used correctly
  • Assist in monitoring and consolidating fuel consumption and miles travelled for all vehicles
  • Prevent misappropriation of petrol and spare parts
  • Monitor the administrative documents for all vehicles

Management of equipment/telecommunications

  • Assist in installing and securing materials
  • Assist in monitoring and maintaining materials
  • Organize training sessions in the use of means of communication

Management and monitoring of IT equipment

  • Update antivirus software
  • Provide teams with adequate means for data backup
  • Ensure the maintenance and correct use of IT equipment

Management of premises

  • Ensure to maintain all the premises in good shape (taking the lead in maintenance and repairs)
  • Ensure the proper use of the generator and back up and monitoring their maintenance
  • Define the needs of the base and liaise with procurement department to provide supply necessary to the smooth operation of the office

Monitor stock procedures:

  • Make sure that Entrance and Out of stock cards delivered by the Technical service are valid (location, focal point, etc.)
  • Make weekly updates to the technical team for monitoring the stock of tools/equipment, in collaboration with the Log Manager.
  • Prepare and update lists of spare parts necessary for the proper functioning of the program equipment
  • Make sure the stock is clean, closed and well managed.

Work successfully with other services:

  • Collaborate with all program teams to facilitate the implementation of their activities
  • Respect the logistics procedures established by the mission
  • Be aware of every security threat within the work zone and keep the Logistician manager and Field Co Assistant regularly updated
  • Propose, set up and update daily a tool for monitoring the equipment available on each site.
  • Make sure that all documents related to the transport of goods and equipment are accurate: delivery voucher, packing list, waybill, distribution voucher, etc.
  • Filing and archiving the mission's logistical documents in accordance with Solidarités International’s procedures.

Management of Security

  • Ensure that movement SoPs are known and applied
  • Ensure that tracking of movement is well implemented
  • Ensure all means are available in the base for safety and security
  • Ensure the management and 24/7 presence of security guards; drawing up the schedule and liaise with company

Human resource management

  • Management of Security guards
  • Management of Drivers
  • Ensure or assist with logistical training

III. Profile required

  • English language mandatory
  • At least 1 year of experience in a similar position
  • Experience with NGO is an asset
  • Technical knowledge in generator, electricity, mechanics is required
  • Mastering Microsoft pack is mandatory
  • Good communication skills
  • Flexibility required
