WHO WE ARE

ITDC was founded in 1969 as the “Swedish Center”, a vocational center focused on poverty reduction, and community development. Over the subsequent decades ITDC left a legacy of improving the lives of Yemenis across multiple generations. 

During the following years, and particularly with the onset of the conflict in 2015, ITDC has expanded its activities, programs and geographic areas to include a wider spectrum of relief, recovery and development programming across multiple governorates of Yemen.

Job Title: Project Administrator (PA)

Reports To:
The Project Administrator will report to the Children’s Project Leader. This position is specifically in connection with the Children’s Project and they will act as the primary assistant to the Project Leader.

Job Overview
We are looking for a person with strong administrative and logistics skills to help the project leader organize quotations from contractors for renovation of school buildings, procure schools supplies, purchase and shipment of school equipment, purchase and ship curriculum books, arrange payment of teachers, collect reports from project coordinators, and support survey and monitoring of project activities. This PA will be responsible to visit school sites in 3-4 districts of the Taiz governorate, 1 district in Al Dhale’e and 1 district in Lahj, as requested by the project leader. The PA will help provide oversight of team of 6-8 school coordinators and collect attendance and project monitoring data from them.

Work Location: Taiz Office

Hours: 30 hours/week

Work Period:

Start Work: 01 October 2021
End of Work: 30 June 2022

Responsibilities and Duties

  • Write and collect procurement documents including a Request for Quotes, Vendor Quotations, and a Quotation Evaluation Form for vendors and building contractors
  • Visit school sites to monitor project performance
  • Coach and assist school coordinators in monitoring activities, collecting data, archiving, documentations and implementing of other administrative tasks.
  • Maintain weekly, monthly and annual org/project schedule (set up meetings, travel, assigned tasks and next steps) and update assigned workflows.
  • Assist in composing and completing written reports for all org/project activities and staff meetings and post to the appropriate online server.

  • Assist Department Manager and Program Manager Assistants in monitoring activities and collecting data including the management of the online documentation.
  • Assist the Project Leader in administrative tasks
  • Assist in managing the library of project documents in original format (hard copy to the office file) and the electronic copies (scanned versions to online server).
  • Oversee translation of the survey and interview data from English into Arabic and Arabic into English

Qualifications

  • A graduate degree in a relevant field.
  • Proven experience in administrative work.
  • Fluent in verbal and written Arabic, basic English skills (if possible)
  • Experienced in Microsoft Excel, Outlook, Word and Powerpoint
  • Strong skills in conducting oral interviews
  • Strong report writing skills
