DUTIES & RESPONSIBILITIES

 

Duties and responsibilities:

  • Prepare all financial transactions and ensure that all financial transactions (soft and hard copies) all filed properly on daily basis and easily accessible.
  • Ensure that all financial transactions are properly coded and recorded.
  •   Assist Senior Finance Officer in Making sure that budget vs actual analysis for the projects are properly prepared.
  • Assist in Preparing all financial reports according to BFD and donor guidelines.
  • Follow up with programs (team in the field) and supporting departments in a monthly basis to ensure disbursements of the activity's expenses are processes based on the spending plan (if any) and the budget.
  • Ensure that all transactions are in compliance with BFD policies, donors' requirements and Yemeni laws and regulations.
  • Maintain cashbooks and accounts records and ensure payments are allocated to the correct project and budget line;
  • Confirm that payment related to procurement have the necessary documentation as outlined in BFD’s procurement policies and procedures for all goods and services;
  • Ensure that all transactions are booked on daily basis into the accounting system in accordance with guidelines
  • Ensure that proper authorization has been obtained before any payment takes place;
  • Ensure that all vouchers are properly coded (project no., budget line and G/L account)
  • Processing all payments in time;
  • Ensure all financial transactions have the required supporting documents;
  • Ensure that internal control and segregation of duties are in place.
  •   Regularly conduct field visit and supervise the financial activities and the inventory physical count for assets, stores, petty cash and other as requested.
  • Assists the Finance Manager and Senior Finance Officer in the efficient conduct of project/donor audit and internal audit including the project and statutory audits by providing necessary information and explanations, supporting documents, reconciliation etc.
  • Assists Finance Manager in organizing financial orientation and capacity building exercises for project teams as applicable to ensure that the financial standards required of them are always maintained.
  • Gather all information and required documents for any special assignment such as Spot check, and donor capacity assessment.
  • Conduct Any other task that may requested by the line manager.

Required Qualifications:

  • University Degree in accounting and/or finance is mandatory
  • A minimum of 2 years’ experience in Finance assistant position in NGOs.
  • Preferable, to be familiar with using Onyx accounting system. 
  • Fluency in written and spoken Arabic and English are required.
  • Technical skills
  • High analytical and reporting skills.
  • Team player with excellent planning skills
  • Excellent command of excel and other database applications.
  • Good knowledge and skills in financial software, working knowledge of Onyx would be considered an asset.
  • Excellent diplomatic and interpersonal skills.
  • Ability to produce solutions to complex problems.
  • Team management skills.
  • Fluency in written and spoken Arabic and English are required
