Job Purpose
The Child Welfare & Admin officer will be responsible for two main elements; Primarily, oversee the Human Appeal’s Child welfare and Orphan sponsorship programme and secondly, provide administrative support to the organization with a particular focus on Administration and Office support. S/he will ensure that the orphans sponsorship programme is of the highest quality, adhering to best practice guidelines and child protection guidelines.

MAJOR RESPONSIBILITIES
Child welfare and Orphans sponsorship (60%):

  • Continuous support to collect and verify children’s Bio-data in order to support Sponsorship Programme in associate with the programmes manager
  • Continuous collection of relevant documents like photograph, birth certificate, health certificate, School certificate for the sponsored or’ supposed to be sponsored under Human Appeal.
  • Continuous home visits to Human Appeal Sponsored Orphans / children to oversee the welfare of the sponsored children.
  • Regular School visits and to maintain regular liaison with the School teacher to enhance rhythmic educational continuity of Human Appeal sponsored children.
  • To make orphans’ mothers / guardian aware regarding the different Children Right issue.
  • To be responsible for uploading of relevant bio datas, annual reports, photos, on the orphans online system as per Human Appeal policy and procedure.
  • To support the orphan family in opening orphans bank accounts.
  • To liaise with relevant organisations / authorities to establish and improve the services for sponsored orphans.
  • To ensure implementation of child protection policy within the sponsorship programme and to support the organisation in ensuring implementation of the policy.
  • To organize different cultural events for Human Appeal Sponsored orphans within the approved budget limit in order to improve their sound mental and psychological well-being.
  • Exploring ideas and concepts continuously for the welfare of the orphan’s and their families from through other projects and interventions.
  • Assist Program Coordinator to collect data required for periodic Orphan’s progress reports.
  • Prepare and Submit monthly/Quarterly activity reports to the Sana’a Field office/UK HQ.
  • Attend trainings and capacity building as and when required.

Administrative duties (40%):

  • With the assistance of the Operations Manager, contribute to the streamlining of all Administration and office support processes ranging from HR and office oversight.
  • Perform administrative HR responsibilities, such as maintenance of employee files, orientations, and assist with recruitment or benefit process, etc.
  • Maintain appropriate records and ensure confidentiality regarding personnel activities and personnel data
  • Responsible for the running of the following office functions: Reception of visitors, photocopies and mail services, translation services, telephone etc.
  • Maintain and monitor attendance book; alert supervisors to poor attendance records of relevant staff;
  • Responsible for maintaining supply of all admin documents and making them available for all HA staff; ensure the maintenance of a central filing system. 
  • Responsible for preparing ID cards for all staff; ID cards are worn by all HA staff when on official business or on HA property;
  • Assist in the collection of monthly timesheets and processing of payroll along with Finance.

Key responsibilities and accountabilities:

  • To liaise with other agencies, partners and organisations as appropriate to ensure the delivery of the most effective aid and development to beneficiaries
  • To ensure overseas offices and programmes receive the best support possible from Human Appeal.
  • Assist staff in other departments as required in order to facilitate the work of the NGO
  • Help, arrange and participate in meetings, conferences and team activities
  • Adhere to stated policies and procedures as per the company handbook, health and safety requirements Investor in People standard and Quality management system.
  • Establish and maintain effective working relationships with co-workers, supervisors, managers and the general public.
  • Other duties as per the request of the Head of Mission in the interest of the organisation’s objectives.

Person Specifications
Qualifications and experience:

  • Minimum 2 years of working experience in a similar role
  • Fluency in English and Arabic (written and spoken).
  • Sensitivity for other cultures
  • Ability to deal sensitively and appropriately with confidential information.
  • Excellent ability to work in a team and to mediate.
  • Fully computer literate (Microsoft Office)
  • Experience of prioritising workload, time management and dealing with conflicting priorities
  • Demonstrated success in supporting senior management and building relationships.
  • Ability to deal sensitively and appropriately with confidential information.
  • Broad knowledge and experience in employment law, compensation, organizational planning, organization development, employee relations, and training and development.
  • Strong collaborator with effective interpersonal and analytical skills.
  • Demonstrated ability to work, manage, and meet competing deadlines in a fast-paced.
  • Aptitude for problem solving and decision making needed
  • Superb written and verbal communication skills required.
  • Capable of managing conflict and conflicting views.
