Job Description

Job Title: Project Assistant
Report to:  Project Manager
Work Location: Sana’a
Application Closing:  03 Jul 2020
Duration of Initial Contract: 06  Months (extendable based upon performance and funding availability)

Key Duties & Responsibilities:
Project Support:

  • Support implementation of project’s activities by following up activities in the field.
  • Maintain regular contact with local partners with regard to project activities and deliverables.
  • Ensure project files are kept updated and have the most current information; process incoming documentation from partners.
  • Assist in documenting events and workshops and have media documentation organized and properly filed.

Admin Support:

  • Attend meetings with partners and take minutes.
  • Type correspondences and follow up on them.
  • Ensure documents requiring signature are approved and processed in a timely manner.
  • Receive and collect documents related to the project activities and maintain an accurate and complete filing system electronically and in hard copies.

Logistics Support:

  • Support the admin assistant in organizing field visits for the project team and takes care of travel arrangements, and vehicle arrangements.
  • Support the coordination of logistics for training and workshop activities.
  • Support logistics, including invitations, participants’ cards, desk signs, participants’ lists, attendance lists, invoices, per diem forms, taking photos, making copies needed for the training materials, certificates and filling up request forms for stationery needed.
  • Distribute materials to participants such as handout, pens, brochures, and evaluation forms.
  • Perform any other related duties as may be assigned.

Qualifications:

  • A university degree or equivalent certificate/diploma or similar qualification from a recognized establishment or equivalent experiences.

Experience:

  • At least 1-2 years’ professional experience in a comparable position.
  • Good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office and Excel)
  • Good command of Arabic, English language skills desirable.
  • Administrative and technical experience.
  • Previous experience in NGO and/or CSO project cycles.
  • Very good written, oral, and interpersonal skills.
  • Very good organizational and file management skills.
  • Time management skills with the ability to multitask.

Skills & Competencies:

  • Ability to work through stringent deadlines with acute attention to detail.
  • Maintains focus on priorities.
  • Self‐starter with the ability to manage time effectively.
  • Ability to coordinate all aspects of an event including‐   logistics, correspondence, financial reports and printed materials.
  • Ability to coordinate and lead committee meetings.
  • Good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office and Excel)
  • Willingness to up skill as required by the tasks to be performed.
