Job Title: HR & Admin Assistant

Contract type: Full -time

Duration of Initial Contract: 6 Months (extendable based upon performance and funding availability)

Resonate! Yemen Foundation (Resonate!), is a non-for-profit civil society foundation contributing to inclusive and local sustainable development through the provision of institutional development and local community empowerment programs to diverse groups of development stakeholders including CSOs, Youth and Local Authorities. Resonate! believes in community-based empowered interventions as a main source of local sustainable development. Thus, strengthening the capacities of different development stakeholders is essential to guarantee a better quality of service delivery especially during these challenging times. 
During the past 10 years, Resonate! had worked closely with a significant network of CSOs covering a wide geographical scope in Yemen. It provided its local governorate implementing partners i.e., CSOs and local authorities, both in the district and governorate level, with capacity building and technical support in various topics/areas including but not limited to: Social Accountability, Public Policy, Governance, Advocacy, Project Management/Planning, Strategic Planning, Conflict Resolution, Peacebuilding, Justice, Community Needs Assessment, Coordination and Networking, etc. While on the other hand, it worked towards building sustainable policies in Yemen while taking into consideration the input of Yemeni youth as major stakeholders in policy design and implementation bringing the voices and ideas of youth to public policy discourse while supporting youth action on issues of national and international significance.

Job Role:
This position is in a well-structured experienced. H/She is responsible for proper application and development of the HR & Admin policies and procedures, delivering the different activities on the various human resource and admin functions & systems.

MAJOR RESPONSIBILITIES:

Admin Responsibilities:

1.    Assist with office services, front office reception and switchboard tasks when needed. 
2.    Answering the telephone, taking the messages, greeting guests, handling inwards and outgoing mail. 
3.    Preparing all periodic data and statistics related to the administrative services, submitting them on time, preparing reports, responding to correspondence and editing notes. 
4.    Supervising the cleanliness of offices, halls, corridors, maintaining the proper level of cleanliness, regulating the cleaning of detergents and cleaning equipment, and checking the compliance of employees with safety and prevention systems. 
5.    Ensure that Record of stationery usage for monthly orders (photocopy papers, flipcharts papers, stationery for workshops and office. etc.) 
6.    Ensure that security is sufficient. 
7.    Maintain the hospitality for all visitors, and the cafeteria material, recording the monthly consumed materials and trends. 
8.    Support staff during the preparation of meetings and workshops as needed (stationery, refreshments, lunch, etc.) 
9.    Update the office contact database, mailing lists, employees data base. 
10.    Typing documents and data entry when required. 
11.    Photocopying and binding documents as required. 
12.    Ensure that all forms and documents are always available and updated. 
13.    Follow up with supply companies for the maintenance of other office equipment, such as telephone system, and photocopier machine. 
14.    Any other duties assigned by the line Manager/ supervisor.
HR Responsibilities 
1.    Follow up the attendance record and collect the monthly time sheet from all employees. 
2.    Follow up and update staff leave balance. 
3.    Maintain effective administrative, personnel filing all HR records and data base as well as HR forms and templates. 
4.    Assist in Preparing employment contracts, letters, new employee packs, induction packs, and other HR documents and correspondence. 
5.    Any other duties assigned by the line Manager/ supervisor.

Qualifications and Experience:

EXPERIENCE AND KNOWLEDGE

  • Bachelor’s degree in Business Administration or related field. 
  • Minimum of 1 years' experience in a relevant field. 
  • Advanced skills in MS Office applications, especially Excel. 
  • Good command of Arabic and English languages 
  • Good communication skills 
  • Flexible to work long hours and weekends, if needed. 
  • Ability to adhere to deadlines.
