ACTED Organization is pleased to announce the below job vacancy with the following details:

Position: Logistics Assistant/Archiving

Department: Logistics

Location: Sanaa

Contract Type: Fixed term

Contract Duration: 6 months

Job Duties and Responsibilities:

Logistic Assistant/Archiving is responsible for the following departments on Sanaa base:

  • Archiving
  • Compliance
  • Daily worker management

Tender archiving:

  • Review the archiving process of the tender files from 2017-2018
  • Make sure it is done following ACTED’s guidelines
  • Ensure all documents have been scanned in a good quality
  • Store them properly documented in the archiving room
  • Database

Logistics procurement files archiving:

  • Review all files from logistics department 2016-2017-2018
  • Make sure they are all properly scanned in a good quality
  • Cross check with finance archives making sure the original files are with finance.
  • Link with compliance to solve any issue that could outcome from the archiving process
  • Store properly in the archiving room the documents from 2017- 6 first months of 2018
  • Prepare the files for 6 last months of 2018 to be archived in January 2019
  • Database / compliance
  • Create a document to follow up the regulation needs

Logistics archiving from bases

  • Make all the logistics archives come to Sanaa and review them
  • Review all files from logistics department 2016-2017-2018
  • Make sure they are all properly scanned in a good quality
  • Cross check with finance archives making sure the original files are with finance.
  • Link with compliance to solve any issue that could outcome from the archiving process
  • Store properly in the archiving room the documents from 2017-  6 first months of 2018
  • Prepare the files for 6 last months of 2018 to be archived in January
  • Handover report to follow the work after the position.

Job Requirement (Qualification and Experience):

  • Administrative work and diplomas related
  • Preferable experience with Humanitarian sector
  • Knowledge of the humanitarian processes
  • Good level of English
  • High experience with Office software
