Position: Reporting Officer
Job site: based Aden, with regular field visits to Abyan, Shabwa, Aden/Lahj and Taiz
Report to:  Project Manager
Status:  Full-time Staff

Project objectives: 

INTERSOS is seeking to ensure the provision of emergency, life-saving assistance, and protection for migrants/new arrivals in the governorates of Shabwa, Abyan, Aden and Taiz. 

  • In Shabwa and Abyan, INTERSOS runs migrant’s response teams (MRT) for new arrivals and stranded migrants, covering mostly, but not exclusively the districts of Ahwar, Khanfar, Al-Mahfad and Zinjibar for Abyan and the districts of Mayfa’a, Rudoum, and Ataq.
  • In Aden, INTERSOS will run an MRT at border areas and for stranded migrants, covering mostly, but not exclusively the districts of Dar Sa’ad, Shaykh Uthman and Al-Buraiqa. 
  • In Aden, INTERSOS will further also support for Al-Takaful social center (supervised by MOSAL) where migrant unaccompanied and separated children (UASC) are staying. 38 children (25 per month max) will be supported at Al-Takaful with shelter, food, NFIs and protection services (structured and non-structures PSS and awareness and life skills sessions).
  • For Taiz, INTERSOS will include 1 extra lawyer to cover detention monitoring and mixed migration monitoring (movements and issues with movement) for migrants passing through Taiz.

The core activities include:

  • Registration and assessment of migrants and provision of dignity kits, food (in kind and vouchers), NFIs and emergency first aid (mobile response
  • Provision of awareness sessions on legal and referral services including for specialized services such as lifesaving medical and protection services
  • Protection monitoring and reporting on violations of human rights of migrants and others on the move

These activities will be integrated with other ongoing programming in the targeted areas; seeing for example with health, where migrants can be referred to MCT and health facilities operating in the area, and with protection services, especially in Aden.

Main Responsibilities of the MRT Reporting Officer:
The Reporting officer is responsible for the efficient, correct, timely implementation of the data collection, data elaboration and analysis, draft and finalization of reports on the protection situation under the supervision of the Project Manager with the support of the Activity Coordinators.  

Responsibilities/Duties

Timely Data collection

  • Ensure that the staff in the field provide all the information collected as per monthly activities on time for the monthly report.
  • Prepare on monthly basis: monthly report, PAT, Cumulative indicators and other reports requested by PM or/and senior management.

Data management and analysis

  • In charge to develop an efficient and clear data management system developing a specific database.

Rapid data/information collection system

  • Develop a rapid and efficient system to collect rapidly new information when requested from the senior management.
  • Develop a data/information collection system able to report urgent protection issue immediately

Support to the Project manager

  • Support the PM in the capacity building of the data entry and to improve the monitoring tools that are currently used.
  • Support the PM in the update of databases.
  • Support the PM to updates the reporting format according with the PM and donor requirement.
  • Take pictures and collection of successful stories 

Other tasks

  • Support the Activity Coordinators and the data entries with weekly, monthly, Bimonthly, quarterly, interim and yearly reports: data, statistics, graphics and table should be produced, as required by INTERSOS management; support INTERSOS in the preparation of reports and matrixes.
  • Ensure the respect of the principle of confidentially and do not disclose any information related to work other than to discuss MRTs and their own identified PoCs.
  • When needed and applicable, facilitate the communication of INTERSOS staff, both in written and verbal, through translation and interpretation, support in drafting communications.
  • Ensure, when needed and applicable, written communication between INTERSOS staff and the management, by translating forms, e-mails, reports and any other relevant documents (including translation from/into English, if applicable), respecting given deadlines and ensuring that any cases that are behind schedule are flagged for follow up;
  • Any other task not listed here and necessary for the project implementation.

Overall, these tasks require:

  • Clear & timely communications to line management

Main requirements

  • Hold an BA in social sciences, law studies or related fields (Legal technical languages knowledge is required)
  • At least 2 years of professional experience in NGO
  • Demonstrated familiarity with mix migration issue
  • Good interpersonal skills
  • Excellent computer skills (proven computer literacy), especially in excel, word and other data base soft wares
  • Excellent database management skills 
  • Excellent reporting skills (English)
  • Strong capacity in translations (English Arabic and Arabic English)
  • Able to work in a dynamic environment and fast learner.
  • Precise and able to collect information from staff that is more senior than you and staff that is younger than you.
  • Team worker and hard worker 
  • Readiness to commit and adhere to the values, mission and vision of INTERSOS

  • Native Arabic – EXCELLENT written and spoken English
  • Strong team spirit, comfortable in a multi-cultural environment
