The Job

ZOA is a Netherlands based International NGO which offers RELIEF to people who are affected by conflict or natural disasters. ZOA wants to contribute to a new perspective of HOPE in which people work together for a promising future in dignity and mutual trust. Together with the affected communities, we work on their RECOVERY until they can take care of their livelihoods. ZOA has been operational in Yemen since 2012, mainly focusing on WASH and Food security & Livelihoods interventions in Sana’a, Hajjah, Hodeidah, Al Mahwit and Aden Governorates. ZOA Yemen is currently seeking for national qualified candidates for:

Logistic officer Aden – 1 position

The Logistic Officer is responsible for asset management, IT,  warehouse management & supply chain management and  fleet management. The Logistics Officer reports directly to the Area Manager, and will have line management responsibility for the procurement Assistant.

Key responsibilities

Asset management and IT support

  • Ensure all assets are registered in asset list and labeled. Make sure all ZOA assets are in good condition
  • Keep track of asset movement and ensure proper filing of asset movements / location
  • Ensure proper functioning of internet, landlines and IT materials (printers, photocopier, scanner, etc)

Procurement:

  • Ensure procurement of goods, services and works are based on ZOA standards of procurement
  • Carry out market assessments and keep vendor record up to date
  • Ensure all documentation is complete and filed according to ZOA data management system
  • Prepare payment request for delivered goods, services or works within the ZOA guidelines
  • Develop and maintain positive relationships with suppliers,  authorities, other NGOs and any other stakeholders, representing ZOA and ensuring good co-operation and partnerships.

Fleet and travel management

  • Ensure all vehicles are in good condition and ready for use;
  • Organize weekly travel plan, liaise with liaison officer for travel permits and ensure the movement of board is filled in regularly
  • Supervise the fuel consumption of each car by monitoring correct use of the vehicle logbook. Make monthly overview of fuel consumption per project
  • Inform drivers on weekly movement
  • Ensure ZOA travel policies are implemented

Stock/Warehouse Management:

  • Ensure all goods are kept according to ZOA warehouse management guidelines.
  • Ensure all documentation on stock, inventory and stock movement are recorded
  • Write monthly stock situation report and submit to logistic coordinator
  • Ensure the tidiness and protection of goods in stock and maintain safety an security of the warehouse. Ensure fire extinguishers and fire blankets are in place as well as a first aid kit

Communication

  • Maintain a transparent, honest and supportive communication structure with colleagues to ensure they are kept informed of applicable logistical activities and requirements.
  • Provide training, advice, mentoring and coaching as required to all relevant staff on logistical procedures, internal controls and the logistical requirements of donors.
  • Develop and maintain positive relationships with suppliers,  authorities, other NGOs and any other stakeholders, representing ZOA and ensuring good co-operation and partnerships.

Quality Management:

  • Be aware of the potential for loss or fraud in logistical activities and procedures.  Pro-actively work to prevent such occurrences by working with relevant line managers to improve transparency and to ensure the best use of ZOA assets and resources.                 

Skills and competencies

  • University degree preferably in (Supply chain management, Business administration) and/or related field
  • At least 5 years work experience in a logistic function
  • Excellent organizational and communication skills and teamwork-oriented.
  • Fluency in written and verbal English and Arabic is required. Must be able to read and interpret   documents, and communicate with others as necessary to perform job duties effectively
  • Proficient in standard Microsoft Office package (Word, Excel, Outlook) and typing.
  • Ability to travel as required within Yemen.
  • to work independently and take initiative
  • Ability to work under pressure and manage personal stress levels.

  • Attention to detail and high level of accuracy

Location: Aden

Start date: as soon as possible, contract until 31st of December 2019 with possibility for extension
