Job Description

  • POSITION TITLE: Project officer    
  • DEPARTMENT: Program
  • SUPERVISOR: Program Manager
  • Start date:  As soon as possible 
  • Location: Aden
  • Reporting to: Program Manager
  • Contract Duration: end of the year with possibility of extension

MAIN TASKS

  • Support the project management in setting up relevant project plans and follow-up to ensure timely planning and implementation of all project activities according to set targets (objectives, indicators, work plan, and approved budget).
  • Support regular and proper project documentation and reporting according to Donor and PIN standards, rules & regulations (interim and final reports, monthly reports).
  • Provide technical support under the guidance of The CP to partners in the fulfillment of their duties according to project objectives and ensure compliance with PIN policies and international standards.
  • Support in design and participation in assessment and surveys
  • Provide input to the program team and contribute to project planning and proposal development.
  • Regular site visits to the program implementing areas to follow program activities implementation.
  • Work together with local government especially the Directorate of Education, WASH, and Health and key stakeholders to facilitate and coordinate the program activities and implementations
  • Attend project-related meetings, Clusters and trainings
  • Ensure a functioning monitoring system of projects and actively follow up to ensure reports arrive on time.
  • Support in preparing and putting into action monthly plans for monitoring missions and ensuring quality and timeliness of monthly and donor reports.
  • Develop a PR and communication-related activity schedule, including timeframe and budget.
  • Produce Human Interest Stories, case studies, and any other communication.
  • Liaise with different departments within PIN at the mission level.
  • Anticipate and share any problems associated with the carrying out of his/her activity and resolve any problems.
  • Remain in touch with the population and local authorities to understand needs, complaints, and major events that may have an impact on the activities of PIN.
  • Prepare BoQs and PRs and follow up the orders with the logistics department.
  • Perform other tasks as requested by the Supervisor.

GENERAL OBLIGATIONS AND RESPONSIBILITIES

  • PIN stipulates the right to assign any other kind of work derived from work specialization. In case of urgent work and such like the staff may be asked to work overtime as well as during public and other holidays.
  • Adhering to all PIN policies and procedures at all times including those stipulated in the key policies such as the Code of Conduct, Child Protection Policy, Security Standard Operating procedures, etc.
  • Punctual attendance to work including both working hours in the assigned office and schedule field trips if applicable
  • Ensuring timely and effective delivery of tasks
  • Correctness and completeness of given tasks
  • The staff takes over the responsibility for all entrusted material or cash and is obligated to cover all damages or losses caused by his carelessness. The Agreement of Liability of Assets has been signed separately.
  • Prompt providing of all relevant information to their supervisor
  • Maintain confidentiality of all information gained from employment within not publicly available
  • Archiving of all entrusted and acquired documents in proper manner
  • Representing and upholding the values of People in Need at all times
  • Behave in appropriate manners at all times and in all places

Qualifications and preferred skills

Education and Experience

  • Experience with WASH, Hygiene Promotion, Nutrition, and Education
  • Bachelor's degree in a relevant field (e.g., Business, Management, Program Management, Public Relations, Social or Humanitarian Sciences)
  • Three years of work experience with an INGO would be an advantage.

Preferred Qualifications

  • Experience in participatory action planning and community engagement.
  • Experience monitoring programs and collecting relevant data preferred.
  • Experience using MS Windows and MS Office packages (Excel, Word, PowerPoint).
  • Experience in program management tools and software (if any).

Required Languages: good command of English, Arabic written and spoken
