Our work in these challenging settings gives rise to some of the most pressing issues facing contemporary humanitarian action, including questions of access, security, funding and coordination.

SUMMARY:

Under the supervision of the Nutrition Coordinator, the Information Management Assistant is responsible for entering/reviewing the entered data into tailored activity databases, clean it and producing information and reports as well as follow up with the field staff to receive data.

RESPONSIBILITIES:

The “Information Management Assistant” will be responsible but not limited to:

  • Ensure all the project data are collected from community committees or any relevant stockholders.
  • Design required databases, forms, templates, and reports within ADRA and WFP standards.
  • Field visits which may include over nights in the field to conduct an on-going data collection process interviews with beneficiary households and other stakeholders and ensure high-quality data is collected in accordance with the agreed time plan and data collection strategy.
  • Preparing the required documents for the distribution and working together with the project field team to ensure the process is going smoothly and making sure all problems are being solved (related to the Project data and documents).
  • Ensure the regular, timely and accurate entry of beneficiary registration into the database, as well as follow-up to update the relevant information of the project activities.
  • Compile, validate and review the data by checking for missing, illegible, duplications or invalid information; and follow up with a relevant personal to correct any incompatibilities.
  • Produce monthly, disaggregated statistics and qualitative updates of progress on the program activities work for the project achievements and create a data visualization reports in Power BI, Excel dashboards, charts and GIS maps.
  • Produce and update regular and systematic information reports like CPDR, CMAM, SCREENING and FDPs) before the deadline.

  • Review the waybills and compare the received food commodities’ quantities with the actual plan, and confirm waybills on HTS and make sure the HTS always updated.
  • Entry the hotline and TMP complaints’ feedback in the MEF.
  • Establishment and maintaining project documentation, filing system and archiving (hard copies & electronically) according to ADRA procedures.
  • Design (Kobo Collect, ONA, ODK) data collection tools and manage their databases.
  • Creating data backups as a part of a contingency plan.
  • Manage and analyze data to produce project required information and reports with coordination with Nutrition Coordinator and MEAL Department.
  • Comply with all relevant ADRA policies and procedures.
  • Perform other relevant duties and responsibilities required and requested by the Direct Supervisor.

  QUALIFICATIONS AND SKILLS:

  • Bachelor degree in Statistics, information technology (IT) or computer sciences, or equivalent field.
  • Minimum One year of direct experience in Data Management Assistant Positions, preferably in humanitarian NGOs.
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent computer skills, including Database Management Systems.
  • Excellent English and Arabic Languages (Writing and speaking) are required.
