Position: CRM Assistant

FMF is a non-profit and non-governmental organization aiming to provide health, nutrition, food security and protection services as a humanitarian response to the escalating socio-economic situation in Yemen since 2012.

Duties and Responsibilities: -

  • Responsible for activating the accountability mechanism in front of beneficiaries and work on designing a mechanism to facilitate receiving complaints and proposals submitted by beneficiaries and stakeholders. To ensure their documentation and follow up on the relevant departments to solve them, while making recommendations to reduce them and ensure that they are not repeated.
  • Supervising the daily operations to monitor any complaints, visions and impressions of the beneficiaries in order to achieve the maximum efficiency and effectiveness in providing humanitarian assistance in terms of cost and ability to submit proposals to improve services, report problems and follow up on their solution immediately.
  • Developing daily activities to activate the accountability mechanism for beneficiaries.
  • Conduct effective planning to raise the level of awareness of beneficiaries and stakeholders about the mechanism of complaints and proposals and how to address them.
  • Collect complaints and suggestions raised via the hotline, WhatsApp, SMS, field staff, direct interviews, government agencies.
  • Publish and distribute the hotline number across all project products and publications such as: banners, brochures and project documents used.
  • Performance evaluation using basic indicators such as knowledge of complaints mechanism, knowledge of rights and benefits, extent of satisfaction of beneficiaries ... etc.
  • Ensures efficient data transmission and archives for future reference and submits timely complaints reports (daily stirpes, daily oral reports, if necessary, weekly summaries/reports).
  • Follow up on all project activities and measure the extent of knowledge and satisfaction of the beneficiaries and stakeholders.
  • Maintain a proper filing system for all the information with filling codes.
  • Archiving everything related to the accountability mechanism (complaints, suggestions and solutions developed) and documenting them.
  • Perform other duties as will be assigned by the line manager.

Job Requirements:

  • Bachelor’s degree in any relative field.
  • Minimum of 1 year experience in the mentioned position or in the field of data management or any related field in an INGO/NGO environment, preferably in a humanitarian context.
  • Answer to any needs or requests addressed by beneficiaries in a professional and timely manner.
  • Ability to write clear and well-argued reports and assessment.
  • Politically and culturally sensitive with qualities of patience, tactic, and diplomacy.
  • Strong analytical skills and ability to handle complex issues.
  • Very good knowledge of the MS office software (Word, Excel, Outlook, PowerPoint); and e-data applications.
  • Commitment to the aims and principles of FMF.
  • Flexible and able to work well under pressure.
  • English and Arabic language proficiency (speaking, reading, writing).
