Job Description

Position:  Warehouse Officer.
Location:   Sana’a, Yemen.
Reports to: Operations Coordinator
Reference:  22-35
Duration:  Till December 31, 2022, renewable based on fund availability & performance.

It has presence in 14 Governorates in Yemen responding to all areas of humanitarian sectors. ADRA Yemen is undertaking programs in Yemen in the fields of health, child protection, education, women's protection and empowerment, NFI and food distribution, cash assistance, and livelihoods programming. Our work in these challenging settings gives rise to some of the most pressing issues facing contemporary humanitarian action, including questions of access, security, funding and coordination.


SUMMARY:

The Warehouse Officer will work within the logistics department of Operational Support structure, committed to provide reliable and compliant support to program activities to achieve efficient service to program beneficiaries
The warehouse Officer will ensure smooth operations of ADRA Yemen warehouses and manage the receipt, dispatch and inventory keeping of all goods that entered the storage facilities. Through implementing ADRA Yemen Warehousing procedures the Warehouse Officer ensures that all inventories will be accounted for in accordance with ADRA Yemen and donor requirements.

RESPONSIBILITIES:

  • Implement and manage the warehouse in accordance with the ADRA Yemen Warehouse Policy and Procedures Guidelines 
  • Daily coordination of ADRA Yemen logistical, and procurement activities.
  • Ensure the timely delivery of supplies to respective Projects with the coordination of procurement department and ADRA Yemen transport pool.
  • Coordinates general warehouse operations and activities including the special requirements of pharmaceutical items with the pharmacists, including shipping, and receiving deliveries. 
  • Operates automated warehouse management system including registration, dispatching, inventories and stocks.
  • provide monthly reports on all existing stock. Maintains accurate electronic and hard copy files of warehouse stock (on and off-site stock) Provides reports on remaining stocks at end-of-grants, Physical counts (fiscal year and at request) Provides reports on non-moving stock. 
  • Has a full understanding of ADRA Yemen warehouse policies and formats. Assists, as needed in training staff on these policies and forms.
  • Preparation of status reports on deliveries for Logistics Coordinator and recipient of supplies. 
  • Assist in the maintenance of thorough warehouse files as outlined in the ADRA Yemen Warehouse and Procurement policies.  
  • Maintain the inventory and prepare the reports daily. 
  • Report and proposes disposal of damaged, obsolete, expired materials to the operations coordinator.
  • Participates in and facilitates annual physical inventory and regular stock takes.
  • Implements a cost-effective material handling system.
  • Travel or delegate subordinate to travel to field sites to receive and inspect goods delivered directly to the field.
  • Interacts with suppliers in the receiving and inspection of goods – issues GRNs. 
  • Receive the goods as per the description on the purchase order/request. Inspects goods upon delivery and rejects inadequate, broken, lower quality and other items not meeting the requirements of the order.
  • store materials according to the system in force to ensure continuous availability, ensuring that all items are well organized and correctly stored, well protected, fully identified, and easily accessible (cleanliness, security, access, etc.).
  • Controlling warehouse limited access to authorized personnel and ensuring doors and other exits are secured. Immediately informing the operations coordinator of any problems arising in the course of the work, particularly about damage, loss, attempted break-ins, or theft in the warehouse
  • Dispatch goods from the warehouse using appropriate ADRA Yemen procedures, Store Release forms, Waybills, and update Stock Records.
  • Prepare report of monthly stocks, end of grant stocks, fiscal year physical counts and other physical counts, as instructed by supervisor.
  • Display bin cards on each item in the warehouse.
  • Supervising materials and goods orders and dispatch to ensure its rational use.
  • Maintain physical and electronic copies of inventory, as per formats and forms provided in the Warehouse Manual.
  • Coordinate with the logistics officer for transportation arrangement for dispatches.
  • Generate the commodities movement waybills and gate passes.
  • All other activities to ensure the smooth warehouse operation.
  • Conduct himself/herself both professionally and personally in such a manner as to bring credit ADRA Yemen and to not jeopardize its humanitarian mission in Yemen.
  • Other duties as assigned.

QUALIFICATIONS AND SKILLS:

  • University degree required, preferably in Logistics or related field, with demonstrated experience in Logistics administration in Yemen.
  • At least three (3) years of progressive experience with at least two (2) years’ experiences with an international NGO in the areas of procurement and logistics
  • Demonstrated ability to manage warehouse related tasks. 
  • Excellent teamwork including abilities to coordinate well with diverse individuals and teams and to collaborate effectively with colleagues and stakeholders to achieve results.
  • Strong organizational skills
  • Strong computer skills in basic, office programs.
  • Strong communication skills, both oral and written; and basically, in English, knowledge of Arabic is an asset.
