Contract type: Part-time with possibility of transfer to full-time upon performance and work load.

Duration of Initial Contract: 6 Months (extendable based upon performance and funding availability)

Resonate! Yemen Foundation (Resonate!), is a non-for-profit civil society foundation contributing to inclusive and local sustainable development through the provision of institutional development and local community empowerment programs to diverse groups of development stakeholders including CSOs, Youth and Local Authorities. Resonate! believes in community-based empowered interventions as a main source of local sustainable development. Thus, strengthening the capacities of different development stakeholders is essential to guarantee a better quality of service delivery especially during these challenging times. 
During the past 10 years, Resonate! had worked closely with a significant network of CSOs covering a wide geographical scope in Yemen. It provided its local governorate implementing partners i.e., CSOs and local authorities, both in the district and governorate level, with capacity building and technical support in various topics/areas including but not limited to: Social Accountability, Public Policy, Governance, Advocacy, Project Management/Planning, Strategic Planning, Conflict Resolution, Peacebuilding, Justice, Community Needs Assessment, Coordination and Networking, etc. While on the other hand, it worked towards building sustainable policies in Yemen while taking into consideration the input of Yemeni youth as major stakeholders in policy design and implementation bringing the voices and ideas of youth to public policy discourse while supporting youth action on issues of national and international significance.

Job Role:
The Administrative / Financial Assistant will be responsible for the day-to-day tasks of financial and administrative affairs in the Governorate of Aden, by providing support and work according to the Instructions of the Financial and Administrative Department at the headquarters in Sana'a.

MAJOR RESPONSIBILITIES:

Financial tasks:

1.     Responsible for keeping records of the daily financial transactions of the corporation and its Projects in Aden, including the liquidations of the era, Exchange / purchase requests, purchase orders ... etc... And properly archived and delivered to the Financial and Administrative Affairs Unit in Sana'a firstly.
2.    Responsible for collecting and examining all financial vouchers and supporting documents for all financial transactions of the corporation and its projects in the Aden office.
3.    Responsible for maintaining financial vouchers for the Foundation's office in Aden and keeping them appropriately
4.    Ensure that all banking and monetary transactions are carried out for the Aden office after reviewing and approving officials in the Financial and Administrative Affairs Unit
5.    Responsible for saving the petty cash for the Aden office
6.    Responsible for following up the tax payment procedures on a monthly basis and dealing with any tax-related issues
7.    Other related tasks as needed and under official guidance from the Director of the Financial and Administrative Affairs Unit.

Administrative tasks:
1. Preserving, archiving and preserving the branch employees' files in Aden according to the human resources policy and procedures.
2. Submit the report of the working hours portfolio on a weekly basis to the Human Resources Officer according to the institution’s procedures and policies.
3. Preserving the assets of the institution in the Aden office and submitting a quarterly report on the status of the assets to the official in the human resources department.
4. Participates in integrating new employees into the Aden office and explaining the internal regulations to them.
5. Representing the Foundation with government and official agencies in the governorate of Aden, according to the directives and instructions of the competent administration.
6. Obtaining work licenses for the corporation and its projects from the concerned authorities and working to complete the procedures in accordance with the institution's policy.
7. Providing the procurement service to the corporation’s branch in Aden, in accordance with the procurement procedures and policies approved by the corporation.
8. Providing logistical and contractual services to the projects and the institution in accordance with the procedures and policies of contracts in the institution and under the supervision of the Financial and Administrative Affairs Unit.
9. Attending meetings and events and representing the institution in the best way possible.
10. Any other tasks related to the Aden branch and under the official direction of the Director of the Financial and Administrative Affairs Unit.

Person Specifications
EXPERIENCE AND KNOWLEDGE

  • A university degree in a related field.
  • Experience of a range of admin & Finance management.
  • Previous experience in working with COSs or INGOs Organization
  • Essential computer literacy (word, excel, internet, SAGA).
  • Strong innovation, organization ,and autonomy potentials
  • Sense of initiative and responsibility, reactivity with a good character.
  • Good knowledge of the laws related to job tasks
  • High-level of interpersonal and communications skills both oral and written.
  • Fluency in written and spoken English is essential.

SKILLS

  • Experience of successful teamwork: challenging, motivating, developing and inspiring team members.
  • Ability to work with significant levels of autonomy and make prompt and sound decisions.
  • The ability to meet agreed deadlines in a stressful and fast paced environment will be critical.
  • Ability to travel to around Yemen.
