Context

The impact of the work of HR Assistants affects the delivery of discrete support services and is closely interrelated with the work of other members of the HR team. The HR Assistant will be exposed to an international, fast past and dynamic team at Yemen Country Office supporting one of the biggest and largest emergency responses ongoing and will contribute in ensuring a successful client oriented programme implementation including: Talent Management and HR Administration. The work performed affects not only the timely delivery of HR processes but also indirectly the delivery of the client departments’/divisions’/offices’ programmes. They play a key role, as a member of the team, in providing routine and some specialized information both to client’s departments and to more senior members of the HR team on HR procedures and the progress of delivery against standards and deadlines. Task description

Under the direct supervision of the Chief HR for Sana’a at UNICEF Yemen CO, the UN Volunteer will undertake the following tasks:

  • Assist in recruitment and placement of staff: Scheduling Assessments (tests, interviews with candidates and selection panel); Writing Interview minutes;
  • Provide administrative and logistical support to Consultancy and Third Party facilitator port-folio i.e. data updates, filing and quality assurance, assisting in recruitment process to the fi-nalization of contract; compilation and filing of mandatory documents;
  • Provide team management support, including taking notes in weekly meetings, updating team/task planner and following up on action items with relevant team members;
  • Support with in-country onboarding of newly recruited staff members (IP and Local): updating onboarding page, schedule induction briefings, share installation sheets with sections, update onboarding tracking sheet;
  • Contribute to the administration of UNLP issuance/extensions;
  • Contribute to leave and attendance management by following up and reconciling leave rec-ords;
  • Maintain staff lists (including related to security) and automated databases containing HR re-lated statistics and generating periodic reports;
  • General office support, drafting and/or processing variety of correspondence and other sec-tion’s communications.
  • Setting up and maintaining HR files/records (electronic and paper);
  • Any other related tasks as may be required or assigned by the supervisor.

  • Candidate must be a national or legal resident of the country of assignment.

Requirements

Required experience

3 years of experience in

  • At the national and/or international level in Human Re-sources and administration; experience working with international organizations is an asset;
  • Fluency in spoken and written English is required. Arabic would be considered an asset.
  • Previous experience as a volunteer and/or experience of another culture, (i.e. studies, volun-teer work, internship) would be highly regarded;
  • Computer skills (i.e. Word, Excel, PowerPoint, social media, and others).
  • Research skills, including data collection, report writings, briefing notes, and context analysis
  • Good interpersonal, networking and communication skills;
  • Willingness to contribute and work as part of a team;
  • Flexible and open to learning and new experiences;
  • Respect for diversity and adaptability to other cultures, environments and living conditions;
  • Area(s) of expertise: Administration

Driving license

Languages

  • English, Level: Fluent, Desirable Arabic, Level: Mother tongue, Desirable

Required education level

Bachelor degree or equivalent in Bachelor’s degree in a relevant area, e.g. Human Resources, Management, Business Administration and/or other related fields will be desirable.

As this is a national UN Volunteer assignment, the UN Volunteer will be responsible for arranging his/her own housing and other living essentials.
