Job Description

TITLE:  HR Employee Relations and L&D Coordinator
TEAM/PROGRAMME: HR    
LOCATION: Country Office 

CHILD SAFEGUARDING:

Level 3:  the post holder will have contact with children and/or young people either frequently (e.g. once a week or more) or intensively (e.g. four days in one month or more or overnight) because they work country programs; or are visiting country programs; or because they are responsible for implementing the police checking/vetting process staff.

ROLE PURPOSE: 

Provides professional support to the HRD on all learning and development matters in relation to staff performance management and updating the LMS system. Ensure effective onboarding processes conducted. Supervising the Learning and Development process and procedures with all field offices. Also making sure that staff are fully oriented to the mandatory trainings and update Oracle system. As well implementing all aspects of the employee relations and wellbeing including conflict management resolutions.
Coordinates specified HR activities across multiple organizational departments and within Yemen CO and sub-offices.

SCOPE OF ROLE: 

Reports to: HRD

Staff reporting to this post: 2 Wellbeing and mental health consultants.

KEY AREAS OF ACCOUNTABILITY : 

  1. Collate Area Development needs, identify resources, in coordination with managers and Head office HR, and arrange development activities.
  2. Consolidate trackers and compiled from field offices on mandatory trainings.
  3. Ensure full D2P documentation and reviews and discussions are recorded in line with Save the Children policy and procedures.
  4. Ensure all new hires have had a proper induction disseminated and relevant materials are shared.
  5. Assist HRD in conducting various human resources programs when requested from Field managers/ops director (training, orientation, etc) and procedures for all Yemen employees.
  6. Supervise on onboarding orientations to all new hires and from the first instance.
  7. Advise managers and staff on develop to perform management system and administer the collation of performance management updates.
  8. Assist HRD and Ops managers in conducting various human resources programmes (surveys, assessments. etc)  
  9. Support on guidance and follow up with SMT on the Oracle talent management review.
  10. Ensure the highest level of confidentiality is maintained with regard to all sensitive personnel data and in line with Save the Children’s guidelines and procedures on Data Protection. 
  11. Resolving escalated and complex employee relations issues by guiding managers and employees, making recommendations on the organization’s response to employees.
  12. Managing the wellbeing and mental health programme and activities.
  13. Manage staff conflicts in coordination with HRD and line managers.
  14. Ensuring that HR legal requirements in terms of conflicts are met to minimize potential liability.
  15. Ensuring strict adherence to disciplinary policy procedures.
  16. Provide regular support to the HR team in the field offices by updating them with new guidance and procedures from CO and/or RO.
  17. Conduct field visits and ensure sufficient support is provided.  
  18. Any other tasks assigned by HRD.

QUALIFICATIONS  

  • University degree in HR, Business administration, economics or other discipline relevant to management and administrations

EXPERIENCE AND SKILLS

  • A minimum of 3 years experience in the HR field. 
  • Experience within an INGO or similar other organisation working with vulnerable communities and children.
  • Knowledge of principles and practices of human resources.
  • Excellent organizational and time management skills.
  • Self-sufficient, proactive self-motivating work styles
  • Excellent verbal communication and report writing skills in English and Arabic language
  • Ability to plan and organize and work in a systematic and organized manner.
  • Customer service oriented.
  • Ability to prioritize demands.
  • Strong team player with high team spirit and positive attitude.

  • Productive and responsive to instructions and project policies and regulations.
