Job Description

Information Management Assistant focus on centralizing information already collected by CCCM/Shelter staff as part of regular project implementation

Responsibilities

Generic responsibilities

These responsibilities shall be the same for all positions with the same title. The responsibilities shall be short and essential. Details belong in the Work- and Professional Development Plan.

  • Adhere to NRC policies, tools, handbooks and guidelines
  • Assist with the implementation of the support function portfolio according to plan of action
  • Prepare and develop status reports as required by management
  • Ensure proper filing of documents
  • Promote and share ideas for improvement of the support function Responsible for: assessment, vulnerable beneficiary selection, project planning, implementation and monitoring for shelter/CCCM activities
  • Collection and analysis shelter/CCCM data and report to Shelter/CCCM officer/Coordinator.
  • Produce reports on weekly, monthly and require base as well.

Specific responsibilities:

  • Work closely with CCCM/Shelter team to support with collecting, collating, presenting and otherwise managing information for related reports
  • Responsible for establishment and day-to-day management of a database and monitoring system.
  • Responsible for productions of maps & other geographic information products in coordination with project officer and coordinators as well as charts and info-graphics  materials
  • Update CCCM/Shelter project achievements in NRC Global Output and Outcome Reporting System (GORS) and ensure quality of data entered on monthly bases by cross checking reports generated with projects supporting document and the Monthly Indicator Tracker
  • Produce monthly progress reports of CCCM/Shelter projects including accurate comparison of targets versus achievements
  • Maintain proper filling system and storage of project documents on NRC share point and ensuring security of all document whereby only relevant staff have access to needed information
  • Responsible for data analysis and compilation of quarterly, annual and ad hoc program data and reports.
  • Support in the development of CCCM/Shelter tools as required.
  • Research and retrieve data from internal and external sources; prepare the statistical charts, tables and reports as required
  • Prepare information as requested by CCCM/Shelter team and create dashboard or for easy data presentation while ensuring consistency in response
  • Maintain up to date beneficiaries database In collaboration with M&E team
  • Provide support to all NRC CCs teams working in the IDP sites alongside the CCCM/Shelter team, as necessary. This might include support to build assessment or monitoring tools in ODK/Kobo, clean and maintain databases, or ensure IM processes are in place for regular monitoring of site infrastructure
  • Conduct capacity-building of CCCM/Shelter team in data collection and data management

By interfaces, NRC means processes and projects that are interlinked with other departments/units or persons. Relevant interfaces for this position are:

  • Shelter/CCCM Officer
  • WASH, Education, LFS, Emergency, ICLA, and M&E

Context/ Specific skills, knowledge and experience:

  • Good command of GIS software (ArcMap) and other data visualization software
  • Data collection and Analytical Skills. Practical experience in dealing with electronic data collection
  • Very good use of Microsoft applications and specially Excel
  • Minimum 2 years’ experience working in information management
