REPORT TO: Security Officer
STATUS OF CONTRACT: Short term contract with possibility to extend according to the budget and performance.

ABOUT FMF:

The Field Medical Foundation (FMF) has been operating in Yemen for since 2012 during even the most dangerous peak of the conflict in the region. Our staff of dedicated professionals and passionate volunteers are the helping hand that delivers aid from local and/or international partners to those who require it the most, in a country that was already suffering before the war. Today we have helped humanitarian aid reach the hands of more than 9 million vulnerable people in Yemen to help them not only to survive but also to rebuild their lives. We aim to provide a comprehensive approach to providing aid through interventions, which is why we work in almost all sectors of international emergency relief.

JOB DESCRIPTION:

Fleet Assistant provides administrative and technical support to the FMF Fleet to ensure the effective use, enforcement and enforcement of Fleet Management Policies, Procedures and Guidelines in accordance with FMF rules and in accordance with the laws of Yemen.

RESPONSIBILITIES:

  • Responsible for all transportation of people and daily operation of vehicles. Acts as a focal point for vehicle dispatching.
  • Driver management, responsible for planning and implementing daily travel plans
  • Provides processes to ensure that the FMF base fleet is managed, maintained and maintained in an appropriate, safe and economical manner.
  • Follows mechanisms for tracking staff movements and overall management of field visits at the base.
  • Fuel consumption monitoring, maintenance and repairs are carried out regularly in cooperation with drivers and under the supervision of a manager in line. 
  • In close cooperation with the Security Officer, ensure that all travel is adequate and acceptable in accordance with the latest security situation reports, that there is a clear plan/route for them, and that passengers are properly equipped and prepared (including for unexpected deviations).
  • Consolidation of vehicle records, namely consolidation of vehicle mileage, monthly reports, planning travel schedules, 
  • Working closely with accountants, maintaining relationships with service providers, car rental companies, auto shops, etc.
  • Ensure vehicles are properly equipped with the tools and equipment required by local program safety policies and procedures.
  • Ensure that FMF drivers maintain accurate, legible, up-to-date and complete travel records in their vehicle's logbook.
  • Issued POs of rental cars as per the FMF rules. 
  • Submitting car rental payments to the financial department and follow up it.
  • Ensure that FMF drivers assigned to the vehicle have a spare tire, tools and other equipment, and a first aid kit. Regular checks of fuel, oil, coolant levels, tire pressure, damage and vehicle cleanliness.

POSITION REQUIREMENTS:

  • University degree in relevant subject.
  • Prior NGO/INGO experience of 2-years minimum
  • Good knowledge of software’s installation and Office package (Word, Excel, PowerPoint)
  • Good knowledge of the context and of different governorate of Yemen.
  • Languages: Arabic and English (written and spoken mandatory).
  • Proactive, motivated, honest and rigorous
  • Strong organization skills
  • Autonomous and flexible
