Job Description

TITLE: Warehouse and Distribution Assistant (World Bank)
TEAM/PROGRAMME: Logistic    
LOCATION:  Hadramout Field Office

CHILD SAFEGUARDING: 
Level 3:
 the post holder will have contact with children and/or young people either frequently (e.g. once a week or more) or intensively (e.g. four days in one month or more or overnight) because they work country programs; or are visiting country programs; or because they are responsible for implementing the police checking/vetting process staff.

ROLE PURPOSE: 
Assisting the Supply chain Officer as temp part of the national logistics team. 
The WDA will involve regular lifting of boxes, walking in the warehouse, crouching and bending, climbing of ladders etc., it is expected that S/He has a reasonably high level of physical fitness. Good vision is essential for reading and interpreting picking slips, invoices, delivery dockets, computer screen etc.

The warehouses assistant will be responsible for ensuring inventory is processed, organized, and stored. The warehouse assistant will also package, scan, and prepare orders for delivery. The ideal candidate is comfortable working on their feet, focused on meeting quotas, and experienced in inventory software and databases. The warehouse assistant may also operate heavy machinery, or drive equipment, so a candidate with experience and a valid driver’s license is preferred.

In the event of a major humanitarian emergency, the role holder will be expected to work outside the normal role profile and be able to vary working hours accordingly.

KEY AREAS OF ACCOUNTABILITY:

Reception and Dispatches

  • Acknowledge reception of goods in good order and condition and advice the respective programme staff
  • Ensure that procured items confirm to the required specification, and have reasonable expiry date
  • Inspect and verify the quality, quantity of the Stocks and equipment and supplies arrived at designated warehouses, and check for damage.  Cross-check quantities in accordance with delivery form
  • Ensure that packing of items are carried out according to approved quantities and in proper condition to the means of transportation
  • Ensure to prepare waybill and packing list that are sent with each consignment

Physical organisation of the stores

  • Work to secure suitable warehousing and storage space for the stocks
  • Ensure proper installation of equipments and supplies in proper shelves or pallets, and organize the items in category
  • Ensure the store/WH are clean and monitor the temperature for medical storage ensuring air conditioning is maintained 

Stock Management

  • Implement systems for storage, inventory, asset control, distribution, and receipt of all Programme supplies
  • Maintain and manage the tracking system for all supplies and equipments for all purchases as well as Gift in Kind (GIK)
  • Daily monitoring of stock levels and update the WH report and Gift in Kind (GIK) tracker. This requires daily update of movements of goods in and out of the store
  • Regular monitoring for quality problems, and inform the concerned programme staff for quick action, this includes food and/or drugs expiry dates 
  • Ensure that all incoming and outgoing supplies are enter into the stock and bin cards, and stock balances are known
  • Conduct of cyclic counts and inventories of equipments and supplies in the warehouses

Reporting

  • Prepare WH report to be shared with the team as per instructions from Supply Chain Officers
  • Prepare and update the Gift In Kind (GIK) tracker and share with the Logistics team.

QUALIFICATIONS  

  • Diploma/University level professional qualification/degree in business administration or relative fields 

EXPERIENCE AND SKILLS

  • Good qualification and experience in warehousing and distribution mechanisms
  • Familiarity with logistics needs, such as procurement and transport of supplies
  • Experience of working in humanitarian relief/development sector in the field, in a logistics support programme
  • Strong communicating skill, with excellent verbal and written English
  • Excellent IT skills and previous experience in maintaining detailed administrative records.
  • Willingness and flexibility to work erratic hours.
  • Sensitive to issues affecting children and committed to SCI Child Protection policy.

Desired criteria:

  • Knowledge of MS office, with advanced excel skills
  • Experience in categorizing and palletizing.
  • Driving licence with knowledge about the topography of the subregion
