Job Description

Responsiveness for Relief and Development Foundation (RRD) is a non-government organization that aims to contribute effectively to reduce human suffering in Yemen. RRD works with local communities and stakeholders to provide humanitarian aid for people in conflict-affected areas. 

  • Position: Project Assistant.
  • Department: Program.
  • Reports to: Project Field Officer.
  • Location: Marib Governorate. 
  • Contract Type: Full time.
  • Contract Duration: To the end of year renewable based on performance.

Job Duties and Responsibilities:

Project Support:

  • Assist the Project Coordinator in the overall implementation of the project.
  • Assist the Project Coordinator in overseeing the activities of the consultants and field coordinators.
  • Assist in coordinating the implementation of the project with the other relevant stockholders.
  • Support the Project Coordinator in following up on activities in the field.
  • Ensure project files are kept updated and have the most current information; process incoming documentation from partners and other stakeholders.
  • Assist in implementing and documenting events and have media documentation organized and properly filed.

Admin Support:

  • Attend events with relevant stakeholders and take meeting minutes.
  • Type correspondences and follow up on them.
  • Ensure documents requiring signature are approved and processed in a timely manner.
  • Receive and collect documents related to the project activities and maintain an accurate and complete filing system electronically and in hard copies.

Logistics Support:

  • Support the coordination of logistics for events, trainings and workshop activities.
  • Support logistics, including invitations, participants’ cards, desk signs, participants and attendance lists, invoices, per diem forms, taking photos, making copies needed for the training materials, certificates and filling up request forms for stationery as needed.
  • Distribute materials to participants such as hand out, pens, brochures, and evaluation forms.
  • Perform any other related duties as may be assigned.

Skills & Competencies:

  • Ability to work through stringent deadlines with acute attention to detail.
  • Maintains focus on priorities.
  • Self‐starter with the ability to manage time effectively.
  • Ability to coordinate all aspects of an event including‐   logistics, correspondence, reports and printed materials.
  • Ability to coordinate and organize event such as workshops, training, meetings, conferences, etc.
  • Good working knowledge of IT technologies (related software, phone, fax, email, the internet) and computer applications (e.g., MS Office and Excel)
  • Willingness to up skill as required by the tasks to be performed.
  • Very good written, oral, and interpersonal skills.
  • Very good organizational and file management skills.

Experience & Qualifications:

  • University degree, preferably in administration, or related area.
  • At least 2 years’ professional experience in a comparable position.
  • Administrative and technical experience.
  • Previous experience in NGO and/or CSO project cycles.
  • Time management skills with the ability to multitask.
