GENERAL JOB DESCRIPTION

About us:

BFD is a non-profitable, non-governmental, Yemeni and community-based humanitarian organization was established at the end of 2014 to carry out (Emergency, Early recovery and Developmental) multi-sectorial responses projects. It was aimed to improve the humanitarian issues and needs in different food security and agriculture, nutrition, health, WASH, protection, EECR, Education, Shelter/NFI and CCCM sectors.

Background:

Building Foundation for Development (BFD), a non-Governmental, non-Profit organization (NGO), a humanitarian-based development oriented which over years extended coverage to several governorates. It is being committed to contribute in attainment of the sustainable human development goals and realization of the vision of peace and welfare through sustainable and effective development projects.

MAIN PURPOSE:

The Documentation and Reporting Officer is fully responsible to ensure that all information and data from the field is captured, documented, analyzed and reported in a results-based and timely manner for donors and internal purposes for BFD. The Communication and Reporting Officer is responsible to develop communication material on BFD Project activities in the targeted areas.

DUTIES & RESPONSIBILITIES

Documentation:

  • Collect and check weekly reports from Governorate Coordinators and Health and Nutrition officer; ask for clarification, further information from the field teams, if needed, and ensure consistency of the data.
  • Translate any related documents to the activities’ implementation.
  • Assist the project manager to prepare Weekly, Monthly, Quarterly, Narrative Reports and Final reports to be shared with the donor and Country Office.
  • Ensure all reporting templates are up-to-date and periodically revised.
  • Compose a link-filing system for saving and storing digital documents, photos, and annexes.
  • Ensure effective communications, visibility and knowledge management within BFD and to external audience.
  • Develop, implement and monitor a communication and visibility plan to facilitate better understanding among partners and government about BFD as an organization and program progress
  • Undertake filed visits to gather the information and results related to the program.
  • Develop visibility material such as BFD leaflets, monthly newsletter, update on BFD website, share stories with Donor and authorities for special events.

Reporting

  • With input from the monitoring and evaluation officer and Project Managers, help produce high quality project progress reports as per donors and BFD requirements
  • Provide high quality editing and formatting for all project activities related documents.
  • Support project staff in organizing and managing seminars, workshops, press conferences and field visits as required.
  • Provide relevant expert services to the project management unit, program components and implementing partners (GHOs) on reporting and communications and act as a facilitator or trainer.
  • Provide through progress reporting continuous analysis of the achievements, facilitate project review, evaluation and audits
  • Develop donors reporting date and requirements template.
  • Conduct any tasks requested from the line manager.

General :

  • Comply with BFD policies and practice with respect to child protection, code of conduct, health and safety, equal opportunities, fraud and other relevant policies and procedures

Required Qualifications:

  • Bachelor’s degree/Master’s degree in Mass communications, journalism, social sciences or related areas.
  • 2-years experience in the field of humanitarian work with INGOs/NGOs.
  • He/She should have an extensive experience in communication and diffusion strategies and techniques, reporting, documentation, publication, and audio-visual material preparation in relation to conservation and development fields.
  • He/She should be well versed in the latest electronic publishing and graphics methods.
  • He/She should possess excellent writing, editing, and speaking skills in both English and Arabic.
  • He/She must be well versed in MS Word, Excel, Access, PowerPoint and Arabic language typing
  • Priority will be given to candidates who demonstrate a high level of motivation and good communication, social, and interpersonal skills
  • Ability to multi-task and meet deadlines.
  • Ability to travel independently to the targeted governorates when required.
