The work of ZOA is coordinated from the Netherlands. We are active in multiple countries in Africa, South America, the Middle East Region, and Asia. ZOA has been operational in Yemen since 2012, mainly focusing on WASH and Food security & Livelihoods interventions in Sana’a, Hajjah, Al Mahwit, Aden and Shabwa Governorates. ZOA Yemen is currently seeking for national qualified candidates for:

Logistics Assistant, Aden –  1 position

The logistics assistant provides hands on support to the logistics department in areas of procurement, store and warehouse and the general maintenance of the office. S/he will ensure that the all assets and supplies are recorded in a timely and accurate manner and released according to ZOA procedures. S/he will maintain good relationships with suppliers, be responsible for the quality control of the goods received, ensure no items are expired or lost and keep good communications and correct paperwork. The logistics assistant is a learning position and s/he will follow any instructions the logistic officer will bring forward for capacity building purposes. 

I. Tasks and responsibilities
Procurement

  • Assist the logistics officer in collecting quotations and deliver procurement orders to the vendors
  • Procure items as instructed by the procurement officer and ensure both quality and quantity of the items
  • Create and maintain contact with vendors and customers to ensure timely delivery of goods
  • Ensure proper hard and soft copy documentation on timely and accurate basis based on ZOA systems Assist to coordinate orders, and ensure deliveries of office items to be on time

Fleet management

  • Assist the log officer in fleet management and check vehicle log books and staff movements
  • Ensure proper documentation of all vehicles in soft and hard copy
  • Check condition of the vehicles on weekly basis and report any maintenance needs

Office maintenance

  • On weekly basis check office facilities and ensure the building and facilities are functioning well and are well maintained. In case of breakdown ensure that a maintenance request is raised and that repairs are carried out immediately and within quality standards. Raise purchase request where needed and ensure purchase orders and payment requests are raised within the policies of ZOA
  • Raise payment requests for utilities and coordinate payments with the logistic officer and finance officer in a timely manner and ensure payments are done
  • Ensure & follow up the bills of landline, Internet, electricity, water & communication allowance are paid in a timely manner 
  • Provide support to the log officer in ensuring the office is well equipped and furnished. Support in updating the asset list on monthly basis and record any changes in the status of the assets
  • Warehouse and assets management
  • Responsible for the store and warehouse of Aden program – ensure goods are received according to ZOA policies and all administration related to goods received and goods distributed are up to date and accurate
  • Ensure that all stationary items are available upon request. This includes purchase and delivery, as well as items requested by ZOA staff Responsible for the office store, including documentation, monitoring and ordering supplies as needed and Update the monthly office supplies list

Administration

  • Assist the Log officer with filing & archiving system of the logistics & procurements
  • Ensure that all forms for any requests are available for all staff
  • Assist the Log officer in collecting quotations upon request
  • Assist the log officer in any duties upon request

Location:  Aden
Start date: as soon as possible, contract until 31st of December 2021 with possibility for extension based on budget availability
