Job Description

Title of Role: Finance Coordinator – Aden, Yemen (National)

Mission

Role

Under the guidance of the Head of Support, the finance coordinator works to ensure the efficient management of finance and accounting services for Geneva Call, including cash flows, payments, reporting and compliances on finance and accounting mattes.

Core Responsibilities

  • Provide regular support related to updating projects and country annual budgets and Regular budget vs actuals.
  • Drafting monthly BvA, finalize with Head of Support (HoS) for presentation to management.
  • On regular (daily basis), complete the financial accounting, including maintenance of all payment ledgers for cash, banks, receipts, adjustments on internal/external advances, accruals, balance sheet items.
  • Regularly record the payments and adjustments transactions in Continia (online accounting system) to be reviewed by HoS and update the summary of transactions (SOT reports), monthly reconciliations (cash banks advances accrual adjustments), receipts (income, HQ, adjustments), currency exchanges, all payments and payroll related transactions.
  • Representation to tax, social security and related authorities on regular basis as at when needed, ensuring best practices related to local social security and taxation while participating on different forums (groups, meetings, workshops) related to finance matters.
  • Maintain the cash flow requirements of the Yemen country programme (obtaining forecasts, draft monthly forecast) and liaising with HQ to facilitate cash transfers.
  • Assist on the financial management of the staff program advance issuance, ledger entries, clearance, adjustment, expenses allocations, entry into Continia and submission to Head of Support (HOS) for approvals.
  • Manage the financial accounting process for the local implementing partners, including all adjustments.
  • Ensure compliance to donor and organizational requirements before Purchase orders Pos are processed ensuring due diligence checks on suppliers, vendors, employees, partners, consultants, trainers and all related parties.
  • Assist on audit matters, and directly coordinate with auditors’ staff for audits execution matters ensuring documentation and records are ready for the donor reporting and support the Head of Support (HoS) with donor reporting.
  • Assist with the monthly finance or accounts closing process through regular entry into ledgers for cash banks adjustment advances accruals, SoT. Ensure HQ deadlines are met for continia reports, SoT and other monthly financial reports and submit all reconciliations on time.
  • Independently supervise and ensure availability and retainership of proper supporting documents and systematic filing system for payments and adjustments on timely basis for all payments, receipts, banks, vendors, taxes, social security and payroll.

Main qualifications

Education and experience

  • Completed master’s or bachelor’s degree in relevant field such as accounting, management, finance, or commerce.
  • 4+ relevant experience in the fields of finance function only in INGO.
  • 3+ years of experience of running online systems for accounting.
  • 3+ years of experience of accounting principal methods, rules.
  • Knowledge and experience of working with various donors on finance, compliance, accounting, reporting, and donor auditing.

Languages

  • Proficiency in English and Arabic is required

Personal qualities

  • Good report writing, communication and presentational skills.
  • Organized personality for keeping more better records on various support processes matter.
  • Advanced level knowledge of MS Excel and accounting systems.
  • Strong interpersonal skills including ability to work with geographically remote individuals.
  • Fluent in English and Arabic: Written and spoken with demonstrable track record in presentation and interpersonal skills.
  • Understanding and respect for organizational principles and confidentiality.
  • Strong logic and organizational skills, flexibility, and adaptability to change.
  • Independent initiator, Leadership qualities and unwavering integrity. Can maintain confidentiality of records and information on support functions.
  • Ability to work independently as well as in a team.
  • Proven ability to work well with colleagues and partners from diverse ethnic/cultural backgrounds.
  • Accuracy and reliability, ability to reach results and meet deadlines under pressure.
