Job Description

TITLE:  Data Management Assistant 
TEAM/PROGRAMME: Child protection     
LOCATION: Hajjah 
GRADE: NAT 05     
CONTRACT LENGTH: 6 Months 

CHILD SAFEGUARDING: 
Level 3:
 the post holder will have contact with children and/or young people either frequently (e.g. once a week or more) or intensively (e.g. four days in one month or more or overnight) because they work country programs; or are visiting the country programs; or because they are responsible for implementing the police checking/vetting process staff. 
 

ROLE PURPOSE: 
The Data Management Assistant will be responsible for assisting the CP team in Hajjah in all aspects of information management, ensuring that data are collected, analyzed, and archived correctly on a regular basis, and information is managed well in order to facilitate case management, CP activities and PDQ ensuring data protection and management.
Under the supervision of the CP Coordinator, and with technical support from the Case Management Officer, and all CP staff the case management assistant will work to ensure that all case management data (including CP concerns, case plans, follow-up actions and case closure) is documented, whereby ensuring adherence to confidentiality protocols. In addition, the Data management assistant will ensure that achievements are systematically captured in the relevant narrative and numerical reporting formats.

KEY AREAS OF ACCOUNTABILITY:

Needs Analysis and Program Design:

  •    Participate in required assessments.
  •    Contribute to situation analysis and participate actively in developing a child protection strategy.
  •    Provide data entry support for any child protection-related assessments including Child Rights Situation Analysis.

Program Implementation:

  •    Provide capacity building on timely and accurate data entry of case files into the database, as well as follow-up information.
  •    Generate statistical reports, graphs, maps and follow up on ECHO grant statistical needs.
  •    Support new and ongoing assessments as required or assigned by cluster leads and SCI.
  •    Ensure that data collected from a partner organization is consistent and that it’s in a compatible format, enabling information sharing and analysis.
  •    Provide technical support to the assigned CP staff in information management and data analysis tasks.
  •    Develop monthly updates (graphs) showing the progress of the project, and share them with CP Coordinator and CP specialist for further dissemination.
  •    Feedback to the CP Coordinator about the common mistakes in the reports to be corrected and checked again with project staff.
  •    Analyse the data and make a report against the indicators of the program to see the level of the achievement
  •    Develop simple, user-friendly data reporting tools, in consultation with supervisors; ensuring sex, age, and vulnerable groups’ disaggregation are considered.
  •    Perform any other information management duties as assigned by the line manager.
  •    Document all cases registered and compile all forms according to the procedures, and information management needs.
  •    Work closely with CO MIS and MEAL to report CP cluster monthly updates using 5W.
  •    Report CP data in IMPACT and ensure all figures match those reported on IPTT and other reporting tools. 
  •    Work closely with the Case management team to ensure follow-up monitoring is done for all children with protection concerns and update the database accordingly.
  •    Ensure that the data related to children is safe and shared as per Save the Children’s procedures and policies.
  •    Carry out the responsibilities of the role in a way, which reflects Save the Children's commitment to safeguarding children in accordance the Child Safeguarding Policy.
  •    Comply with all relevant Save the Children policies and procedures with respect to health and safety, security, equal opportunities and other relevant policies.
  •    Provide coaching to the CP key staff in CM, PSS and training databases forms and make sure that all concerned people at CP understand the reporting mechanism.
  •    Regularly and systematically, obtain information of CP activities achievements.
  •    Ensure that the relevant reporting formats (IPTT, narrative) are updated and submitted to the CP Coordinator on a timely basis.
  •    Analyse the data and prepare monthly reports against the indicators of the program to see the level of achievement and advice on the actions that need to be taken in liaison with the CP Coordinator.
  •    To help in conducting CP surveys and assessments starting from planning up to data analysis and assessment report.
  •    Any other duties as assigned by the line manager.

QUALIFICATIONS  

  • Bachelor degree in information technology or relevant field. 

EXPERIENCE AND SKILLS

  •    Minimum 2 years of previous experience in data entry.
  •    Minimum 50 words per minute as typing speed 
  •    Good communication skills in both English and Arabic, and strategically under pressure.
  •    Experience in Data analysis
  •    Has good experience in Excel and other Microsoft Office applications.
  •    Strong commitment to work with a willingness to adopt a participatory and consultative management approach.
  •    Flexible, adaptable, able to improve and work in a stressful, volatile environment.
  •    Good written English and ability to write good quality reports
  •    Ability to exercise sound judgment and make decisions quickly and independently.
  •    Ability to travel as required within Yemen; ability to live in remote and isolated environments.
  •    Sense of neutrality and ability to work across Yemen, in cooperation with all sides of the conflict.
