Position: Pharmacist Assistant

Location:  Shabwah with frequent field visits

Reports to: Project Coordinator (Health and Nutrition)

Position Summary:

Under the supervision of the ECHO Project Coordinator (Health & Nutrition) and technical support of Senior Pharmacist Officer, Pharmacist Assistant will dedicate 100% of his/her time leading, coordinating and ensuring the high-quality implementation of activities related to management of pharmaceuticals and medical supplies, as well as data management in pharmacies.

Essential Position Responsibilities and Duties:

  • Support the oversight of quality of the pharmaceuticals, medical supplies and equipment under the program and under RI’s custody at governorate/field level, according to RI, MoPHP and ECHO’s requirements.
  • Assists the Operations teams with any customs clearance procedures for medical orders, if needed.
  • In charge of following the concordance between the pharmaceuticals and medical supplies ordered (and declared suitable for use) and the ones received by RI, as well as drugs delivered by RI to its local warehouse, then to supported HFs,
  • Ensure complete collection, archiving and consolidation of consumption and stocks reports (supported HFs and RI monthly), and any other reporting procedures in place per RI or MoPHP;
  • Provide analysis of drugs supply chain and management as per program implementation within each supported-HFs, including analysis of consumption, expected delivery planning required and stock-outs risks;
  • Participates in the setup of new pharmacies in the health facilities and support definition of management protocols
  • Ensures on time and consistent information flow to the Project Coordinator (Health and Nutrition) and relevant program team concerning stock levels, pharmacy management and prescriptions.
  • Follow the storage and transportation conditions of these drugs to ensure their quality until final point of destination;
  • Manage any possible problems with the suppliers and/or the products (in coordination with operation teams) along the course of its transportation and delivery/use;
  • Technical support to RI staff on pharmaceutical management aspects, including good storage/distribution practices and training as required;
  • Intervene at all stages of the mission's medicine chain in accordance with his/her responsibilities and any other tasks involving his/her collaboration and participation;
  • Supervises the stock/pharmacy management of end user units in project through the HF Pharmacist;
  • Gathers stock indicators, analyze them and pass them on to the Project Coordinator (Health and Nutrition) / discusses with the Project Coordinator (Health and Nutrition), ECHO Program Manager and Senior Pharmacist Officer the decisions/interventions required (stock levels, stock-outs, pre-stock-outs, over-stocking, donations, expired products, disposal).
  • Analyses the drugs real consumption in relation to protocols in force and the project's medical activities/fields.
  • Provides input for medical orders: draws up the first draft of orders, reviews the parameters involved in replenishing stock, reviews the projects' standard list, finalizes orders based on consumption and future needs arising from the developments in medical activities.
  • Towards the program team, acts as the main reference point (working relationships) for all issues relating to medical stock management at coordination and project level;
  • Conduct staff training when necessary;
  • Ensures respect for GDPs.
  • Ensures that all persons in the supply team at field/governorate level are aware of the specificities of the medical items they handle by raising their awareness/coaching/training them on quality, sensitivity, specificity and the various products' storage conditions;
  • Communicates regularly with the Health and Nutrition, Operations, Human Resources and Finance departments in any issues relating to medical supply chain.
  • Guarantees respect of RI recommendations and information process in case of local purchase.
  • Conducts regular audits on respect for GDPs: the layout of the warehouse, storage, product arrangement, reception, distribution and transport. Checks with relevant RI team members and/or supported-HFs focal points that recommendations are applied;
  • Gives specific directives and/or participates in stock reception and physical stock counts according to needs and necessities.

Qualifications and Requirements:

  • Pharmacist with bachelor degree in B. Pharmacy/pharmacology.
  • Minimum 1 year professional experiences of pharmacy management preferably with humanitarian organizations preferred.
  • Experience with quality assurance and procurement is an asset.
  • Skilled in coaching, training and supervising pharmaceutical/drug dispensing staff, experience in designing and implementing trainings is an asset.
  • Experience in representation and interaction with MoPHP filed staff is an asset.
  • Fluency in Arabic and English are mandatory
  • Proficiency in MS Office
  • Mature with strong interpersonal and organizational skills
  • Ability to work and report independently
  • Excellent communication and diplomatic skills
  • Good organization and management skills
  • Ability to work in a team
  • Good analytical and problem-solving skills with attention to detail.
