  • Report to: Data Management Officer
  • Duration: 3 Months Renewable according to budget & performance

GENERAL JOB DESCRIPTION

MAIN PURPOSE:
The Data Entry Assistant is a member of the Data Management Team and assists the team in the development implementation; and management of field team data. This includes preparation of data collection forms, entering data into the appropriate database software, conduct basic analysis and prepare internal reports. He will be responsible for providing an efficient support for data management and always ensure adequacy, accuracy and legitimacy of data and reports.

DUTIES & RESPONSIBILITIES

Data Entry and Assistance: 

  • Prepare source data for computer entry by compiling and sorting information; establishing entry priorities.
  • Ability to travel independently, including to rural communities, and work long hours.
  • Enter beneficiary's data into the database software by inputting alphabetic and numeric information on keyboard or downloading data from host web pages and manage beneficiary database management system for the targeted governorate.
  • Transferring data from paper formats via computers, as deemed necessary.
  • Manage other program data and enter the data into appropriate database like replacements and vice versa. 
  • Updating any changes in the project entered data and other information received from field staff under the supervision of the Data Management Officer.
  • When necessary, verify data by correctly checking and comparing source documentation.
  • Organize paper formats, paper back-ups, and materials source files as requested.

Data Quality and Analysis

  • Ensure data quality by reviewing data for deficiencies; resolving discrepancies by using standard procedures or returning incomplete documents to the team leader in the field for resolution.
  • Provide basic data analysis and findings and prepare reports in regular bases.

Data Security and Archiving

  • Archive documents in timely manner under the supervision of DMO/Project Manager.
  • Secures information by completing database backups using Google-Drive, or Mega or Dropbox. etc.
  • Photocopying / Scanning documents for dissemination / circulation.
  • Maintain confidentiality of data including beneficiary’s information.
  • Complying with security backups and regular checks to ensure data is saved and stored properly.
  • Undertake any other duties which may be assigned.

Health and Safety

The post holder must at all times carry out his responsibilities with due regard to the BFD policy, organization and arrangements for Health and Safety at Work.

Required Qualifications:

Essential: -

  • Bachelor in IT, Computer Science, Data Science, Statistics, or any related field 
  • Data entry experience and an ability to record data accurately with minimum typing speed 40 wpm.
  • Proven Excel Skills like Functions, Pivot Table, Pivot Charts, VLOOKUP and vice versa.
  • Ability to work co-operatively with others to meet tight deadlines.

Preferred: - 

  • Experience of working with Kobo/ODK data collection platforms.
  • Experience of working in a fast-paced office environment.
  • Ability to work under pressure.
  • Effective organizational skills and affective verbal and written communication skills including an ability to effectively deal with telephone and email enquiries.

  • A sense of creativity is essential.
  • Demonstrated attention to activity tracking detail, ability to follow procedures, meet deadlines and work independently and cooperatively with team members is required.
  • Talent for organizing and cataloging information is essential.
  • Conscientious, with an excellent sense of judgment.

  • A confident, flexible, and initiative-taking attitude with the ability to work independently, to be proactive in working with others, a willingness and commitment to work long hours and/or over weekends, and to spend a considerable amount of time in remote field sites.
  • Understanding of and commitment to safeguarding, child safety, and protection from sexual abuse and exploitation principles.
