JOB PURPOSE: Coordinating, consolidating, and ensuring smooth implementation of and adherence to logistic procedures and provides logistical support to MCHR staff & to partners.

Scope of Responsibilities:
- Ensure proper recording and updating of asset register and ensure the appropriate coding and tags are placed on each item.
- Ensures that procedures outlined in the PQP are implemented in the office and the warehouse.
- Check and supervise the proper functioning and schedule preventive maintenance of MCHR fleet
- Coordinating the delivery, reception and recording of international and local orders, in close coordination with UNHCR, updating stock files and informing line managers on their status (shortfalls, over-stocking, expiry dates), in order to permanently ensure security stock levels and ensure efficient management of stock.
- Support logistics cluster team on the data analysis and reporting for each activities.
- Assist in monitoring inventory management processes of the cluster NFIs/fuel stock.
- Check and supervise the proper use of logbooks for each vehicle, recording fuel consumption and sufficient fuel stock levels.
- Supervise the correct use of the vehicles, only by MCHR staff and authorized individuals and strict adherence to no weapons or unauthorized items policy.
- Update on daily basis stock cards, bin cards and stock reports, reporting on monthly basis or as when required, to program managers and Head of Mission.
- Set up emergency stock levels for key consumable items and alert the program managers to process the purchase requests and avoid shortages.
- Ensure proper documentation are kept in dealing with daily warehouse operations i.e. GRNs, Stock Release Forms or (MSRs), Waybills.
- Ensure timely dispatch of materials to the field locations in coordination with the Procurement unit and program team.
- Conduct spot checks.
- Schedule and coordinate midyear and annual inventory for the country office.
- Support the establishment and regular updating of the supplier list for MCHR, in coordination/upon verification with the admin-fin department for goods, services and suppliers.
- Maintain good records for MCHR owned and rented vehicles such as driving and vehicles license, logbook, fuel consumption, insurance, etc.
Role requirements:
- University degree or equivalent in supply chain management.
- Minimum 4 years’ experience of logistic or equivalent similar sized organization.
- Substantial knowledge of standard logistics procedures and practices required.
- Computer literacy, including MS Office (Word and Excel).
- Attention to detail, ability to work under pressure and able to meet deadlines and to think and plan a head.
- Excellent communication skills on the phone, face-to-face and in writing to be able to explain processes clearly and resolve queries with suppliers and other colleagues.
- Very Good written & oral English proficiency.
