Muslim Hands works both directly and with partners to carry out short- and long-term projects in education, health livelihoods, WASH and emergency relief.

This an exciting time to join an international NGO with over 26 years’ experience across 52 countries. Muslim Hands Yemen is undergoing new and positive changes. We are building on the capacity of the office, looking to implement new and innovative projects alongside opening new fundraising channels. This role is seen as pivotal to the long-term vision for Muslim Hands Yemen.

Position: Logistic Assistant

Department: Logistic Department

Line manager: Office Coordinator.

Location: Marib – essential travel is required to other areas of Yemen

Contract Type: FT ( six month with possibility of extension.)

Objective: The position is responsible to support the Office Coordinator for all Programs activities.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The Logistics Assistant will support the Office Coordinator in day-to-day implementation of the logistics activities. The duties are specified in particular as follows:

1- Coordinate with Office Coordinator to ensure management of vehicle fleets is in line with Muslim Hands standards; ensure appropriate allocation and safe use of vehicles throughout the program and ensure servicing and maintenance schedules are adhered to.

2- Support Office Coordinator to provide data to monitor and evaluate the overall logistics performance in support of the programs.

3- Support Office Coordinator to establish and maintain good contacts with suppliers, government offices, and other NGOs with regards to logistical matters.

4- Support Office Coordinator to design and develop standard operating procedures to manage logistics operations efficiently.

5- Coordinate with Office Coordinator to develop logistical plans for current operations.

6- Coordinate with Office Coordinator to develop reports on materials and personnel movements and various operational logistics problems.

7- Coordinate with Office Coordinator to manage all transportation requirements, including: vehicle log book (VLB) fuel, maintenance, servicing, and ensuring that all vehicles are fully equipped with tool kits, First Aid kits, and other relevant equipment for any short and/or long journey.

8- Coordinate closely with the Administration department and other program staff to ensure accuracy of the Muslim Hands Field inventory database on daily basis and prepare documentation/reports for internal use and submission to Director of Finance Administration (DFA).

9- Maintain and update all MH assets by project code.

10- Due to the nature of the program’s activities, the above-mentioned tasks are indicative only and are subject to change. Others/additional tasks may be delegated to meet programmatic objectives.

11- To assist in the procurement of goods and services is based on authorized requisitions in line with MH logistics policies procedures and in accordance with the division of responsibilities

12- Collect the quotations to prepare all Procurement Documentation and submit to the Logistics Officer

13- Ensure all suppliers' invoices are delivered on time for the payment process, copy all payments before forwarding to finance for processing.

14- Carry out all duties assigned by Logistics Officer and/or DFA.

QUALIFICATIONS AND SKILLS:

1- Bachelor’s degree in relevant specialty is required

2- At least 2 years of experience in working with an NGO.

3- Working in similar or relevant position is preferable.

4- Strong organizational and communication skills, with the ability to effectively present information and respond appropriately to questions from staff in the field.

5- Ability and willingness to travel to project sites as needed.

6- Strong English and Arabic skills, written and spoken. Ability to write reports in English is required.
