GENERAL JOB DESCRIPTION

MAIN PURPOSE: We are seeking a highly organized and detail-oriented Logistic Officer to support the logistics and distribution activities of TSFP and BSFP program in the nutrition Project. The Logistic Officer will ensure the efficient movement of nutrition commodities from warehouses to HFs and FDPs, maintain accurate inventory records, and coordinate with various stakeholders to optimize logistics processes. The ideal candidate will have a strong background in logistics management, supply chain operations, and inventory control.

DUTIES & RESPONSIBILITIES

  • Coordinate and oversee all logistics support and commodity transactions from the warehouse to health facilities and food distribution points.
  • Develop and implement logistics and commodity delivery plans based on the food distribution plan for smooth dispatch of food to HFs and FDP.
  • Maintain consolidated records for all HFs ,distribution points and warehouses, ensuring accurate stock information on a regular basis.
  • Train and provide guidance to logistics relevant staff (WH keeper and WH  on warehouse and logistics procedures as needed.
  • Conduct cost analysis and prepare reports to be shared with supervisors and management.
  • Ensure proper mechanisms and tools are in place for stock ledger, stack cards, and reconciliation of commodity receipts and dispatch.
  • Prepare logistics plans for commodities and submit them to donors and all distribution points.
  • Supervise logistics assistants and tally clerks to accomplish objectives related to logistics support.
  • Review and verify all bills related to transport and labor handling.
  • Ensure proper documentation and preservation of way bills.
  • Maintain regular contact with donor logistics and distribution point staff.
  • Arrange and oversee physical counts of all commodities at distribution points and share reports.
  • Utilize HTS system and other relevant applications and system that are required by WFP
  • Follow the safeguarding reporting procedure in case of any reportable incidents and encourage others to do so.
  • Coordinate and conduct regular physical inventory counts at all food distribution points to ensure accuracy of stock levels.
  • Share weekly and monthly stock report 
  • Develop and implement standardized procedures for physical inventory counting, ensuring consistency and adherence to best practices.
  • Train and guide distribution point staff on proper inventory counting techniques and procedures.
  • Analyze inventory count results and reconcile any discrepancies or inconsistencies with stock records.
  • Collaborate with warehouse staff to ensure accurate and timely reporting of inventory count results.
  • Identify and investigate any issues or discrepancies related to inventory management and take appropriate corrective actions.
  • Implement measures to improve inventory accuracy and minimize shrinkage or loss.
  • Ensure compliance with organizational policies and procedures for inventory management.
  • Maintain documentation and records related to inventory counts and adjustments.
  • Provide reports and analysis on inventory levels, trends, and variances to management as required.
  • Collaborate with relevant stakeholders to develop strategies for optimizing inventory levels and distribution efficiency. 
  • Any other tasks assigned by Project manager

Required Qualifications and Skills:

  • Bachelor’s degree/ Diploma in relevant field with extensive experience in Logistics and procurement.
  • A Minimum 3 years of experience in logistics, procurement, supply chain .
  • Proven experience in logistics management, preferably in the food distribution sector.
  • Strong understanding of supply chain operations, inventory management, and distribution processes.
  • Proficiency in logistics software and systems, including warehouse management systems (WMS) and transportation management systems (TMS).
  • Excellent organizational and leadership skills, with the ability to effectively manage teams and coordinate multiple tasks.
  • Strong analytical and problem-solving abilities, with a keen attention to detail.
  • Excellent communication and interpersonal skills, with the ability to collaborate and build relationships with diverse stakeholders.
  • Ability to work under pressure and meet tight deadlines in a fast-paced environment.
  • Knowledge of safety and security protocols related to logistics operations.
  • Fluency in written and spoken English
