Job Description /الوصف الوظيفي

1- Identification 

  • Job Title: Data Entry 
  • Location: Ad Dale’ District, Ad Dale’ Governorate
  • Reports to/Position Title: MEAL Assistant 
  • Application Deadline : 17 of July 2026,

2- Overall Purpose/Broad Function:    

The Data Entry is responsible for the accurate, timely, and confidential entry, verification, cleaning, and maintenance of project data collected under the Multi-Purpose Cash Assistance (MPCA), Shelter/NFI, and WASH interventions. The position supports effective information management by ensuring that beneficiary and activity data are complete, consistent, free of duplication, and readily available for monitoring, reporting, and project implementation. The Data Entry Clerk works closely with the MEAL Assistant, Project Manager, and field staff to maintain high-quality project databases using Kobo Toolbox, Microsoft Excel, and other approved data management systems while ensuring compliance with TYF's data protection and confidentiality standards. 

3- Key Duties and Responsibilities:    

  • Enter and update beneficiary, assessment, verification, distribution, and monitoring data into Kobo Toolbox, Excel, and other approved information management systems. 
  • Prepare, organize, verify, clean, and validate project data to ensure accuracy, completeness, consistency, and eliminate duplicate records. 
  • Maintain accurate and up-to-date beneficiary databases, activity trackers, and electronic records, ensuring secure data synchronization, storage, and archiving. 
  • Generate beneficiary lists, verification and distribution lists, and routine data reports to support project implementation and reporting. 
  • Provide clean and reliable datasets to the Programme and MEAL teams for monitoring, analysis, and donor reporting. 
  • Ensure compliance with TYF data protection, confidentiality, and donor information management requirements, safeguarding all beneficiary information from unauthorized access or disclosure.

4- Responsibilities/Task Description:

A. General Responsibilities

  • Comply with TYF policies, including the Code of Conduct, PSEA, Child Protection, Safeguarding, Safety and Security, and Data Protection policies. 
  • Maintain confidentiality of all project and beneficiary information. 
  • Report any safeguarding, protection, fraud, or misconduct concerns through established reporting channels. 
  • Develop effective working relationships with programme, MEAL, and support teams. 
  • Uphold humanitarian principles of neutrality, impartiality, independence, and non-discrimination. 
  • Perform any other duties assigned by the line manager within the scope of the position. 

B. Data Entry and Information Management

  • Enter beneficiary registration, verification, distribution, monitoring, and assessment data into approved databases. 
  • Establish and maintain structured electronic databases for project activities. 
  • Update beneficiary records based on verified field information. 
  • Organize, classify, and archive electronic and hard-copy source documents. 
  • Prepare beneficiary lists, distribution lists, and verification lists when required. 
  • Ensure proper coding and filing of project documentation. 
  • Create and maintain Excel tracking sheets for project activities. 

C. Data Quality and Validation

  • Review all entered data to identify missing values, inconsistencies, and errors. 
  • Conduct routine data cleaning and de-duplication. 
  • Cross-check beneficiary information against project records and registration databases. 
  • Flag discrepancies to the supervisor and support timely corrections. 
  • Ensure data quality before beneficiary selection, distributions, and reporting. 

D. Kobo and Digital Data Management

  • Support the preparation and testing of Kobo Toolbox forms when requested. 
  • Download, synchronize, and organize Kobo datasets. 
  • Monitor successful synchronization of field data collected through Kobo Collect. 
  • Maintain secure electronic backups of project databases. 
  • Ensure datasets are stored according to TYF information management procedures. 

E. Programme and MEAL Support

  • Support beneficiary registration and verification activities through timely data processing. 
  • Assist the MEAL team with data entry for assessments, monitoring visits, Post Distribution Monitoring (PDM), Complaints and Feedback Mechanism (CFM), and other surveys. 
  • Support tracking of project beneficiaries throughout the project cycle. 
  • Assist in maintaining cumulative beneficiary tracking databases. 

F. Reporting and Documentation

  • Generate routine beneficiary reports and data summaries. 
  • Compile data required for weekly, monthly, and final project reports. 
  • Prepare clean datasets for reporting and indicator tracking. 
  • Archive project documentation in accordance with TYF filing procedures. 
  • Maintain organized electronic folders and backup copies of project files. 

Job Requirements :

  • B.A  degree in computer science, Information Technology, or related Field ,
  • One year experience in data entry clerk positions preferably in humanitarian NGOs 
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
  • Competency in IT and data management software.
  • High level of attention to detail.
  • Effective organizational and communication skills.
  • Ability to work independently and as part of a team.
  • Strong planning and organizational skills.
