Main Job Purpose
The overarching purpose of the Grant Coordinator is to secure and manage funding that advances the organization's mission and strategic goals. This is achieved by taking a proactive, end-to-end approach to the grants lifecycle from identifying funding opportunities and developing compelling proposals to ensuring meticulous post-award compliance and reporting. The role serves as a critical link between the organization, its programs, and its funders, ensuring that grant activities are executed effectively and in alignment with both internal objectives and external requirements.
Accountabilities
1.Grant Acquisition & Proposal Development (Pre-Award)
- Proactively identify, track, and disseminate new funding opportunities from institutional donors (e.g., UN agencies, FCDO, ECHO, EU), trusts, foundations, and major donors that align with Human Appeal’s country and global strategic priorities.
- Lead the coordination and development of high-quality concept notes, proposals, and budgets in close collaboration with programmes, finance, MEAL (Monitoring, Evaluation, Accountability, and Learning), and field offices.
- Manage tight proposal deadlines, ensuring timely and compliant submission of all applications.
- Ensure all proposals adhere to donor guidelines, humanitarian principles (including CHS), and specific thematic requirements (e.g., WASH, Livelihoods, Emergency Response).
- To provide periodic analysis for funding landscape in the country, new funding trends and donors’ funding priorities.
- To support in donor mapping through gathering related donors’ intelligence and identifying new potential donors for HA humanitarian and development projects.
- To develop donor’s detailed profiles related to institutional donors mainly based on their thematic and geographical preferences as well as their regulations and eligibility criteria.
- To ensure maintaining up to date donors’ due diligence and compliance.
- To support IF regional team in developing monthly funding landscape reports.
- To report to IF regional team on the progress made against IF planned KPIs on monthly basis.
2. Grant Management & Compliance (Post-Award)
- Serve as the primary focal point for assigned grants, maintaining an overview of all grant agreements, contracts, and their specific terms and conditions.
- Develop and maintain detailed grant management tools, including trackers for reporting deadlines, deliverables, and budget vs. actual expenditure.
- Lead on the preparation and timely submission of high-quality narrative and financial reports to donors, ensuring accuracy and full compliance with grant agreements.
- Work closely with the finance team to monitor grant budgets, track spending, and prepare accurate financial reports and forecasts.
3. Networking and donors’ relationships
- To support in identifying, approaching, and meeting new donors, INGOs, NGOs, Corporates, Research centres, Trusts and Foundations and private sector reps in the country office.
- To support CD/CPM in establishing new partnerships with IF donors.
- To support CD/CPM in identifying and building consortiums at the country level as well as globally.
- To support CD/CPM in conducting regular meeting with donors, local authorities and other aid actors.
- To ensure enhancing HA’s visibility within IF donors’ and aid sectors actors through developing quarterly impact reports, to be shared with donors locally and globally.
- To strengthen the competitive position of the organization through ensuring that we remain up to date with donors, funding and compliance regularities globally.
- To identify list of annual global funding conferences and networking events.
- To participate in relevant internal and external working groups, conferences and workshops.
- To activate HA participation and membership in funding and coordination platforms.
- To travel nationally and overseas for networking in addition to establishing an understanding for better, up-to-date programme design and proposal development.
4. Donor Relationship Management & Communication
- Act as a key point of contact for designated donors, fostering positive and professional relationships.
- Coordinate and prepare for donor visits and meetings, in collaboration with field and programme teams.
- Ensure clear and consistent communication with donors regarding project progress, challenges, and amendments.
5. Internal Coordination & Capacity Building
- Facilitate effective kick-off and close-out meetings for new and ending grants, ensuring all relevant departments (Programmes, Finance, MEAL, HR) are informed of their responsibilities.
- Provide guidance and training to programme staff on donor compliance, reporting requirements, and grant management processes to build internal capacity.
- Maintain a comprehensive and well-organized grants filing system (both digital and hard copy) for all grant-related documents.
6. Compliance & Due Diligence
- Ensure all grant-funded activities strictly adhere to Humanitarian Principles, SPHERE standards, Core Humanitarian Standard (CHS), and any other relevant quality and accountability frameworks.
- Support the due diligence processes for partners and sub-awardees, ensuring their compliance with donor regulations.
- Flag any potential compliance risks or issues to senior management in a timely manner.
7. Representation & Learning
- Represent Human Appeal at relevant donor meetings, clusters, and NGO networks, as required.
- Contribute to organizational learning by sharing best practices in grant management and incorporating lessons learned into future proposals and reports.
Job Requirements
Education
- Bachelor’s degree in International Development, Social Sciences, Business Administration, Economics, or a related field.
- Master’s degree in a relevant field. Desirable
- Professional certification in project management (e.g., PMD Pro) or grant management.
Experience
- Minimum of 5 years of proven experience in a similar grants coordination or proposal writing role within the humanitarian or international development sector.
- Demonstrable experience in writing successful funding proposals and high-quality narrative reports for institutional donors (e.g., UN agencies, ECHO, FCDO, USAID, foundations).
- Solid understanding of the full grants management cycle, from identification and acquisition to compliance, reporting, and close-out.
- Strong knowledge of key donor compliance requirements (e.g., EU, ECHO, FCDO, UN) and financial rules pertaining to grants.
- Experience working with major humanitarian standards and principles (e.g., Core Humanitarian Standard (CHS), Sphere Handbook).
- Experience working in a consortium or with partner organizations.
- Experience in budget development and financial reporting.
Technical Skills
- Ability to write clear, compelling, and complex narratives under tight deadlines.
- Strong ability to research donor priorities, analyze calls for proposals, and synthesize information from various sources into a coherent proposal.
- Excellent interpersonal and coordination skills, with the ability to work effectively with and influence technical and support teams across different cultures and time zones.
- Meticulous attention to detail, especially for compliance, editing, and budgeting.
- Superior organizational skills with a proven ability to manage multiple deadlines and priorities in a fast-paced environment.
- Strong numerical skills and the ability to understand, develop, and analyze project budgets.
- Experience with general ledger management, financial reporting, and budget monitoring.
Computer Skills
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Experience with grants management software is a plus.
