Job Title: Reporting Assistant

Purpose of the Position
Daily support for information management and reporting functions within the Programs and Field Operations Department, through providing operational assistance in receiving information and files, preparing, entering or updating data, organizing and archiving records, and developing operational tables, templates, and summaries. This support ensures the availability of well-organized, up-to-date, and readily accessible information for administrative and programmatic reporting and follow-up purposes.
Key Duties and Responsibilities
- Assist in preparing and compiling various operational and programmatic periodic reports, including weekly, monthly, and quarterly reports, status reports, and periodic updates, in both Arabic and English, by collecting relevant inputs, data, tables, and supporting documents.
- Support the preparation of project and program interim, final, and thematic reports by preparing required inputs, tables, and annexes and following up on the completion of relevant information.
- Support the Information Management and Reporting Officer in reviewing and preparing report drafts in accordance with approved templates and requirements, ensuring consistency of the information, tables, and annexes included.
- Receive, compile, and organize operational and programmatic files, tables, forms, and updates received from projects, teams, and field offices in accordance with approved systems and channels.
- Enter and update operational and programmatic information and data in approved tables, records, trackers, and files in accordance with relevant instructions and guidance.
- Conduct initial checks of information and files for completeness, consistency, formatting, and naming, and flag any apparent gaps, discrepancies, or errors.
- Follow up with projects, teams, and field offices on missing information, data, or clarifications required to complete reports and information products.
- Prepare and update preliminary tables, follow-up sheets, matrices, numerical summaries, and trackers used to monitor project implementation and support reporting.
- Assist in preparing annexes, attachments, tables, and supporting documents required for periodic reports, project reports, meetings, and reviews.
- Support the updating of reporting templates, presentations, basic dashboards, and information products in accordance with approved guidance and tools.
- Support participation, as needed, in meetings related to reporting requirements with teams, projects, donors, and partners by preparing relevant information, files, and templates and following up on resulting requirements.
- Update and maintain reporting trackers to ensure that information on report status, inputs, deadlines, and completion remains current.
- Organize and archive reports, files, reference documents, and supporting documents for projects, programs, and field offices in accordance with the approved naming, versioning, and filing system.
- Support the preparation of presentations, information materials, tables, and summaries required for meetings, reviews, and management and programmatic updates.
- Contribute to the development and improvement of information and reporting tools, trackers, and dashboards, including authorized development and enhancement activities within the scope of assigned responsibilities.
- Maintain the confidentiality and protection of information and documents, comply with relevant organizational policies, procedures, and standards, and report any information or documentation errors or risks through approved channels.
- Perform any other duties related to the nature of the position as required and directed by the direct supervisor.
Required Qualifications
Education
Bachelor’s degree in Computer Science, Information Systems, Business Administration, Statistics, or any other field relevant to the requirements and nature of the position.
Experience
1 to 3 years of relevant professional experience, including at least one year of hands-on experience in data entry, information organization and record management, reporting support, or structured administrative and office operations. Experience within humanitarian, development, or similar organizations is highly desirable.
Equivalent Experience:
Completion of at least 30 hours of vocational or professional training in fields relevant to the position, in addition to a minimum of one year of relevant work experience in the required areas.
Required Skills
- Strong time management, prioritization, regular follow-up, and daily coordination with multiple stakeholders, along with effective management of documents, records, and tracking tools.
- Proven ability to prepare and update trackers, compile inputs, support reporting processes, maintain document control and version management, organize folders and files, conduct initial information quality reviews, and effectively utilize office applications, spreadsheets, and operational databases.
- Excellent command of Arabic, both written and spoken, and at least very good proficiency in English, particularly in handling templates, spreadsheets, correspondence, and basic reporting.
- Advanced proficiency in Microsoft Excel, Word, PowerPoint, and Outlook, with a good practical understanding of Power BI or similar data visualization tools, as well as electronic data collection and form management tools when required.

- Knowledge of Project Cycle Management (PCM), as well as basic proficiency in Power BI or advanced Excel, and an understanding of document classification and archiving principles, is considered an asset.
- Excellent command of the English language, both written and verbal.
- Familiarity with cloud storage solutions, version control practices, and organizational systems used for documentation, tracking, and information management is considered an added advantage.
