Diversity Organization is a non-governmental and non-profit organization, licensed under number 24 in 2013 by the Ministry of Social Affairs and Labor. It operates in various humanitarian sectors with the aim of responding to the humanitarian crisis and contributing to the achievement of sustainable development goals in Yemen.
Job Summary:
The Data Entry Clerk is responsible for ensuring that all data collected by project teams is accurately entered, verified, analyzed, and securely maintained within the project databases. This role includes managing multiple databases for various project activities, maintaining up‑to‑date and precise records related to project locations, surveys, indicators, and beneficiaries. The Data Entry Clerk will continuously update the system with new or revised information and ensure proper storage, confidentiality, and accessibility of data.
Key Responsibilities
Data Entry and Database Management:
- Establish and maintain project databases based on required information, and prepare/sort documents for entry.
- Enter beneficiary and project activity data into approved databases accurately and within deadlines while preventing duplication and ensuring consistency.
- Identify and resolve discrepancies and seek missing information for incomplete entries.
- Create regular data backups as part of contingency planning.
- Review and verify entered data, making corrections as necessary.
- Compile and organize information to prepare source data for entry.
- Generate routine reports and store completed work in designated folders or systems.
- Scan documents, print files, and maintain digital/physical archives when required.
- Maintain logbooks and records of daily activities.
- Undertake field visits to collect or verify data when required.
Reporting and Information Support:
- Respond to information requests with basic data analysis and share weekly/monthly summaries with authorized staff.
- Provide timely updates to MEAL and program teams and support data‑quality assessments.
Compliance and Conduct:
- Adhere to strict confidentiality principles and ensure no unauthorized disclosure of information.
- Follow all organizational policies related to code of conduct, child protection, PSEA, equal opportunities, and safety/security.
- Uphold humanitarian principles of neutrality, impartiality, and non‑discrimination.
- Conduct oneself professionally to reflect positively on the organization’s mission.
- Perform any other tasks asked by supervisor
The duties and responsibilities listed above are not exhaustive, and additional tasks may be assigned as needed to support the effective implementation of the project.
Required Qualifications & Experience:
- Bachelor’s degree in Information Technology, Statistics, Business Information Systems, or related field.
- More than 9 years of experience in data entry or information management, preferably within NGOs or humanitarian projects.
- Flexibility in working with Data Management software.
- Experience working in a fast-paced office environment.
- Evidence of organizing and servicing meetings.
- Microsoft Excel, Word, and Outlook.
- Experience in report writing and basic data analysis.
Required Skills:
- Strong communication skills in Arabic and English.
- Strong typing skills and advanced computer literacy, including MS Office and data‑entry applications.
- High attention to detail, accuracy, and a structured approach to tasks.
- Excellent organizational and time‑management abilities to handle multiple data sources and deadlines.
- Ability to review, verify, and correct data with a high degree of precision.
- Good communication and collaboration skills for effective coordination with MEAL and program teams.
