Background
Reporting to the Livelihood Project Manager will take the lead overall logistic and administrative tasks for YLDF project during the implementation phase in collaboration with other support units. The Project Assistant will perform the following key functions and tasks under the direction of the Livelihood Project Manager. This position will provide direction, assistance and support for the project field and casual team

Essential Job Responsibilities
- Be directly responsible for the implementation of the YLDF project activities in the targeted districts.
- Lead the beneficiaries’ selection and verification process as per the selection criteria, update beneficiary database if required. Make sure that beneficiary selection is done appropriately.
- Be directly responsible for the coordination with the related governmental entities.
- Responsible for field budget management and that all expenditures are in line with the approved budget, YLDF and donor compliance standards.
- Ensuring activities are in the planed time frame, work plan and budget.
- Work with the project team to formulate detailed implementation plans, risk management plans and spend plans.
- Communicate with the project beneficiaries, trainers, facilitators and all stakeholders as required.
- Facilitate the monitoring, evaluation, accountability and learning processes for the project and MEAL team ensuring that quality of the implementation is maintained as per agreed standards, lessons learnt are documented.
- Effectively use appropriate tools to ensure project is delivered on-time, on-budget and to the expected quality.
- Assist in the logistics and administration process in the office, project meetings, workshops and field activities.
- Maintain regular communication with project team, support and operations department concerning to facilitate the implementation of the project activities.
- Lead coordination with any Service Providers and their agents for timely transfers and reporting.
- Facilitate team access to tools for use in beneficiary selection processes, registration, training, disbursement and monitoring.
- Provide weekly update, monthly report, both narrative & quantitative when needed.
- Develop productive working relationships with representatives, Government, Non-Governmental institutions and other project partners.
- Maintain the highest standards of behavior when working with the project team, beneficiaries, and targeted communities.
- As and when requested, represent YLDF in external forums, ensuring the YLDF profile is positively maintained as per YLDF values, objectives, strategy and advocacy plan. This includes proactively representing in cluster coordination meetings and maintaining contact with relevant local authorities and other agencies; ensuring that YLDF mandate, vision, approach an activity is understood and accepted.
- Perform any other related duties that assigned to you by your line manager.
Implementation:
- Be directly responsible for the coordination with the local authorities and issuance of any needed permits prior to the implementation of any activities.
- Direct supervision during the registration and verification process of the beneficiaries, ensuring the quality of the process. Addressing any needs or concerns in a timely manner.
- Logistic preparations prior to the conduct of any training/ activity that includes Contact with beneficiaries prior to the conduct of any training/ activities.
- Attend all trainings/activities on a daily basis to facilitate and address any needs during the implementation.
- Ensure that all documents are well archived and submitted to the project team (Originals and in compliance with the financial procedures of the YLDF and the Donors).
- Proper documentation of project information and data.
Reporting
- Submit requested reports for the activities completed in a timely manner. Including (Summary of the conducted activity, quantitative and qualitative data, photo and video documentation, challenges, and recommendations), and the reports should be submitted within a period that does not exceed 3 days after the completion of the activity.
- Submit any needed information or reports requested by the project team.
- Submit requested reports using MS Office.
Qualifications and experience required:
- A recognized first degree or professional qualification in business administration, management, or a related field.
- At least three years’ experience of working in a relevant field, including demonstrable experience in managing emergency, food security, livelihood projects, and team supervision.
- At least two years of experience working in a relevant field, including demonstrable experience in managing livelihood and projects in case of a lack of a first degree or professional qualification in business administration, management, or a related field.
- Strong understanding of humanitarian situations and civil society issues in Yemen.
Other Skills & Conditions
- Has demonstrable experience and relations with related governmental authorities.
- Ability to work independently and as a team player.
- Ability to respond on short notice and plan and execute several activities at once.
- Ability to work under pressure, as part of a team or independently, and meet deadlines consistently.
- Able to communicate clearly and sensitively with internal and external stakeholders as a representative of YLDF.
- Strong interpersonal and communication skills required.
- Integrity: Works with trustworthiness and integrity and has a clear commitment to YLDF's core values and humanitarian principles.
- Excellent level of computer proficiency.
