HR ASSISTANT

Duty Station: Roving - Aden /Marib/Alabr

Contract Duration: 9 Months
Reports To: Line Manager / Admin Manager
Deadline: 2026/03/18

1.    Position Summary

The HR Assistant will support the implementation of all human resource functions related to the CBPF project and the YARD HR Department, ensuring compliance with YARD HR policies, donor regulations, and labor law requirements.
The role ensures proper recruitment, documentation, payroll coordination, leave tracking, and safeguarding compliance.

2.    Key Responsibilities

A.    Recruitment s Onboarding

  • Support preparation and posting of vacancy announcements (Yemen HR, internal).
  • Organize interview schedules.
  • Prepare interview documentation.
  • Conduct reference checks.
  • Prepare employment contracts.
  • Ensure complete personnel files for all staff.
  • Ensure the proper closure of employees’ files upon the completion of their contracts, in accordance with all required procedures.
  • Support onboarding and induction sessions.

B.    Personnel Administration

  • Maintain updated staff database.
  • Track attendance and timesheets.
  • Monitor leave balances.
  • Maintain probation tracking.
  • Prepare employment letters (experience, verification, etc.).

C.    Payroll Support

  • Prepare monthly payroll summary.
  • Cross-check attendance with timesheets.
  • Submit payroll to Finance for processing.
  • Maintain payroll documentation.
  • Ensure compliance with tax C social security deductions (if applicable).

D.    HR Compliance s Safeguarding

  • Ensure all staff sign:
    • Code of Conduct
    • Confidentiality agreements
  • Maintain disciplinary records (if any).
  • Support safeguarding awareness sessions.
  • Maintain incident reporting confidentiality.

E.    Filing s Documentation

  • Maintain secure physical and digital HR files.
  • Ensure audit-ready documentation.
  • Archive contracts, amendments, and evaluations.

F.    Performance Management

  • Track performance appraisal schedule.
  • Maintain appraisal documentation.
  • Support HR reporting to management.

3.    Required Qualifications Education

  • Bachelor’s Degree in Business Administration, Management, or related field.

Experience

  • Minimum 3 years' experience in HR or administrative support.
  • Experience working with NGOs preferred.
  • Experience with donor-funded projects is an asset.
  • Familiarity with Yemen labor regulations.

Technical Skills

  • Strong Microsoft Office skills.
  • Ability to manage confidential information.
  • Knowledge of HR documentation systems.
  • Good understanding of payroll coordination processes.

  • Strong communication skills.

Language

  • Fluent Arabic (mandatory).
  • Good English required.
