Position Title: Information Management (IM) & Data Assistant
Duty Station: DEEM Taiz Office (IRG);
Area of responsibility: Al Hudaydah/Al Khukhah (IRG areas)
Reports To: MEAL Officer (technical); CCCM Program Manager (administrative)
Contract Type: Fixed-term, 9 months (renewable based on performance & funding)
Level/Salary: Level 5, Category E4 (per DEEM Salary Scale)
Travel Requirement: 40% field travel to Al Khukhah for data collection/tool testing; 60% desk-based in Taiz Office
Position Purpose
To support data management, reporting, and information systems for CCCM project components across 27 targeted IDP sites. The IM & Data Assistant ensures accurate, timely, and confidential compilation of activity data, maintenance of databases, generation of dashboards/reports, and compliance with DEEM's IM protocols, data protection policy, and YHF MEAL standards. This role enables evidence-based decision-making, adaptive management, and high-quality donor reporting.
Key Responsibilities & Duties
- Compile, verify, and clean weekly/monthly activity data from field teams using standardized templates (Excel, Kobo Collect exports).
- Maintain project databases (service mapping, referral trackers, CFM logs, site monitoring) ensuring soft/hard copy alignment per DEEM data protection protocols.
- Conduct basic data quality checks (completeness, consistency, timeliness) and flag anomalies to Program Manager for follow-up.
- Support generation of 4W/3W reports, site-level dashboards, and indicator tracking tables for cluster coordination and donor reporting (YHF GMS, Activity Info).
- Draft narrative inputs for monthly reports, update indicator tables, and prepare annexes for donor submissions.
- Visualize key data trends (e.g., referral closure rates, CFM resolution timelines) to inform adaptive management reviews.
- Support design, testing, and refinement of digital data collection tools (Kobo Collect, ODK) in coordination with field teams and MEAL Officer.
- Conduct field visits to strengthen collection tools, train field staff on data entry protocols, and troubleshoot technical issues.
- Document lessons learned and recommend improvements to IM systems based on user feedback and operational needs.
- Ensure all data handling follows DEEM's IM policy, YHF reporting guidelines, and CCCM Cluster data standards.
- Archive project documents (reports, meeting minutes, CFM logs) in organized, access-controlled folders (SharePoint/Google Drive).
- Support internal QA processes: respond to data queries, correct errors, and document improvements for continuous learning.
- Liaise with CCCM field teams, MEAL Officer, and Program Manager on reporting deadlines, tool updates, or technical queries.
- Provide basic IM support to community committees and local partners for service mapping validation and referral tracking.
- Contribute to team learning: share field insights, suggest tool improvements, and document good practices for replication.
Qualifications & Experience Requirements
Essential
- Diploma or Bachelor's degree in Statistics, Information Management, Computer Science, Social Sciences, or related field.
- Minimum 2 years of experience in data management, reporting, or MEAL support in humanitarian/development contexts.
- Proficiency in MS Excel (formulas, pivot tables, data validation) and experience with digital data tools (Kobo Collect, ODK, or similar).
- Strong attention to detail, organizational skills, and ability to manage multiple deadlines.
- Fluency in Arabic (native); working English skills for report writing, tool navigation, and cluster coordination.
Desirable
- Experience with Activity Info, DHIS, or SharePoint in humanitarian reporting.
- Basic understanding of CCCM, Protection, or YHF reporting requirements.
- Training in data protection, ethical data collection, or humanitarian principles.
- Familiarity with basic data visualization tools (Power BI, Tableau, or Excel charts).
