Our mission is to Contribute to youth and community development by implementing quality programs and building effective partnerships in accordance with best institutional practices. ASF started its work in Yemen since 2013 and has been implementing projects in 4 sectors namely skills-building, peace-building with good governance, FSL, and Education with Child Protection.

Purpose of the Job

Under the supervision of the Logistic Officer, the logistic assistant is responsible for supporting the efficient management of warehouse operations, including receiving, storing, and distributing materials and supplies in a timely and accurate manner. The role ensures proper documentation, inventory control, and compliance with organizational procedures and safety standards. The Logistics Assistant plays a key role in maintaining the integrity of stock data, facilitating internal requests, and contributing to the smooth flow of logistics operations to support program and operational needs.

Duties and Responsibilities

ASF is looking for an efficient and qualified person to fill the position to carry out the following Tasks and Responsibilities:

  • Receive goods from procurement officers and verify their quantity and quality specifications.
  • Arrange items in the warehouse in an organized manner and label them for easy access.
  • Receive requisition requests from relevant departments and process the available items after registering and labeling them.
  • Provide departments and staff with necessary materials and supplies, documenting them in the appropriate forms and records.
  • Participate in continuous inventory checks of warehouse items and supplies to ensure their availability.
  • Fully document inventory using records and automated systems.
  • Execute stock issuance, return, and addition transactions.
  • Responsible for organizing storage units and shelves, ensuring the safety and validity of stock in accordance with storage guidelines.
  • Supervise workers during stock addition and organization processes, ensuring proper procedures are followed.
  • Conduct periodic inventory checks and submit reports in accordance with the organization’s inventory reporting system.
  • Monitor the condition and documentation of materials.
  • Ensure materials match specifications and report any discrepancies.
  • Record and track temporarily borrowed or assigned materials issued to employees, in line with instructions.
  • Receive materials from suppliers, store them properly, and record them in warehouse logs.
  • Maintain and safeguard warehouse assets and materials.
  • Ensure full documentation of assets and report newly received items.
  • Provide relevant departments with any required information regarding warehouse inventory.
  • Monitor stagnant and damaged items and submit a monthly report.
  • Alert about low quantities of operational items before depletion, in accordance with reordering procedures.
  • Submit a monthly report to the department manager outlining completed and pending tasks, including reasons for delays.
  • Adhere to general safety rules and guidelines.
  • Perform any other duties related to the job as assigned by the direct supervisor based on qualifications and capabilities.

Required Qualifications and Experience

  • A university degree or relevant qualification in a related field, or equivalent practical experience.
  • Minimum of two years of relevant work experience with NGOs or INGOs.
  • Proficiency in English (speaking, writing, and conversation).
  • Proficiency in using computer applications (e.g., MS Office).
  • Strong computer and IT skills and Previous experience with electronic accounting software.
  • Good planning and organizational skills.
  • Excellent communication skills.
  • Good report writing skills.
  • Willingness to work under pressure.
  • Willingness to travel and conduct field visits to work sites.

Preferred Experience

  • Experience with inventory and asset management systems.
  • Familiarity with warehouse and fleet management procedures.
  • Ability to multitask and manage competing priorities.
  • Experience with coordinating logistics for events, workshops, and field operations.
  • Experience with electronic procurement or accounting systems.
