MsE / Reporting Assistant

Location: Roving - / Marib / Alabr /Al-Rayyan – Al-Jawf
Contract Duration: 9 Months Reports To: Project Manager
Deadline: 2026/03/18

1.    Background
The Foundation is implementing an integrated life-saving response project targeting conflict-affected communities through:

  • Protection case management C cash for protection
  • Unconditional Cash Transfers (FSAC)
  • WASH water trucking, rehabilitation C hygiene promotion

The MCE / Reporting Assistant will support monitoring, documentation, reporting, and data management functions across all sectors.

2.    Job Purpose

To support the implementation of monitoring, evaluation, reporting, and accountability activities by ensuring:

  • Accurate data entry and database management
  • Proper documentation filing
  • Reporting support to technical teams
  • Compliance with donor documentation standards
  • Support to Post Distribution Monitoring (PDM)

This is a junior-to-mid-level position focused on operational MEAL support rather than strategic oversight.

3.    Key Responsibilities

A.    Data Collection s Entry

  • Enter beneficiary registration data accurately into project database.
  • Support uploading and cleaning Kobo data.
  • Maintain digital and hard-copy beneficiary files.
  • Conduct duplication checks.
  • Ensure consistency between distribution lists and payment records.
  • Create designs, infographics, and templates required for the project.
  • Work with the organization’s media officer to manage publications on the organization’s official platforms.

B.    Support to Post Distribution Monitoring (PDM)

  • Support organization of PDM field visits.
  • Assist in sampling selection.
  • Enter PDM survey responses.
  • Support basic data tabulation.
  • Flag irregularities or inconsistencies to supervisor.

C.    Reporting Support

  • Compile weekly activity updates from sector teams.
  • Support preparation of:
    • Monthly internal reports
    • Donor narrative inputs
    • Activity summaries
  • Maintain reporting templates.
  • Archive photos, attendance sheets, and signed beneficiary lists.
  • Support indicator tracking sheets.

D.    Documentation s Filing

  • Maintain structured project filing system (digital C physical).
  • Ensure all activity documents are properly labeled.
  • Maintain tracking log of official correspondence.
  • Support preparation of documents for donor monitoring visits.

E.    Accountability s CFM Support

  • Maintain complaints log under supervision.
  • Record hotline feedback.
  • Track response timelines.
  • Support monthly complaints analysis summary.

F.    Data Quality Assurance

  • Perform daily data cleaning checks.
  • Verify completeness of forms.
  • Conduct basic cross-checks between sectors.
  • Support 10% spot-check verification where required.

G.    Support to Field Teams

  • Attend selected field activities for documentation.
  • Collect attendance sheets and signed verification forms.
  • Support beneficiary ID verification during distributions (if requested).

4.    Required Qualifications Education

  • Bachelor’s Degree in Statistics, Graphic designs, Business Administration, Development Studies, IT, or related field.

Experience

  • Minimum 2–3 years experience in MCE, data entry, or reporting support.
  • Experience working with humanitarian projects preferred.
  • Experience supporting cash-based programming is an asset.
  • Experience using Kobo Toolbox preferred.

Technical Skills

  • Strong Microsoft Excel skills (formulas, pivot tables preferred).
  • Ability to manage large beneficiary databases.
  • Good typing speed and accuracy.
  • Basic understanding of indicators and reporting formats.
  • Knowledge of data protection principles.

Language

  • Fluent Arabic (mandatory).
  • Good English reading/writing required.

5.    Key Performance Indicators (KPIs)

  • 100% accurate data entry.
  • Timely submission of weekly reporting summaries.
  • Zero major documentation gaps during donor review.
  • Complaints log updated within 48 hours.
  • Proper archiving of all activity documents.

6.    Working Conditions

  • Regular travel to project sites.
  • Work under challenging humanitarian conditions.
  • Project-based contract ending automatically at project closure. 

7.    Safeguarding s Compliance

All candidates must:

  • Sign YARD Code of Conduct.

  • Commit to humanitarian principles.
