Position Title:  Project Admin Assistant
Location: Hajah Gov, Yemen.
Employment Type: Full time. 
Number: 1
Contract Duration: 10 Months.

Qatar Red Crescent Society is a nonprofit organization, assist and empowers vulnerable communities within Qatar and around the world by offering life-saving assistance in emergencies, increasing disaster preparedness and resilience to future disasters, improving health care services, contributing to social rehabilitation and capacity building while preserving human dignity, Qatar Red Crescent is now recruiting in Yemen as a Project Admin Assistant in Hajah Governorate.

Duties and Responsibilities: 

  • Archiving and following up on employee files, movement, and participating in the process of (employment - contracts - working hours - salaries) in the project and branch offices.
  • Follow up the movement of employees, attendance, absence and leaves of all kinds for the project and branch offices.
  • Responsible for managing payroll for staff at the field level, supporting the Office Manager in daily operational activities, and administrative tasks at the field level.
  • The staff member also serves as an Emergency Response Assistant, ensuring timely support to field operations during emergencies. The remuneration package includes basic salary, transportation allowance, appearance allowance, social insurance, medical insurance, and income tax.
  • Archiving and documentation of all administrative work in the project.
  • He/she is directly responsible for following up the assets of the branch offices and to have the necessary documents for those assets.
  • Follow up on raising the needs of the office and sub-offices of the project and follow up their purchase and method of arrival.
  • Directly responsible for the movement of rented cars in the branch offices and the project.
  • Participation and preparation for meetings and express opinion on the results and decisions.
  • Responsible for announcing \ informing all employees of administrative decisions and informing the branch offices.
  • Supervising the review and audit of the monthly salary statements for project workers.
  • Organizing the financial procedures of the project and branch offices in terms of checking purchase invoices and documents and their compliance with the procurement standards adopted by the Qatar Red Crescent.
  • Preparing exchange orders for project expenses and branch offices (purchases - salaries - current expenses) according to the approved budget items.
  • Assist preparing the monthly admin reports for the project in accordance with the approved budget.
  • Recording and reviewing the payroll project staff based in Hajah office and reviewing the operation costs that are charged to other project or for Sana` office.  

Qualifications & Skills:     

  • University degree in business administration, accounting or any related field.
  • Full proficiency in Arabic and English.
  • 3 years’ experience in the administrative side, (HR)
  • Leadership and responsibility.
  • Experience working on one of the human resources systems.
  • Effective Communication Skills
  • Negotiation skills
  • The ability to make a decision.
  • Time management skills.
  • Teamwork and delegation of tasks.
  • Good dealing with computer programs
