Job Description /الوصف الوظيفي
Position Title: Reporting Assistant (2)
Duty Station: Al Khukhah District, Al Hudaydah Governorate (IRG areas) – Field-based (with remote support to Taiz Office)
Reports To: Team Leader / Site Management Officer (technical); IM & Data Assistant (methodological)
Level/Salary: Level 6, Category F2 (per DEEM Salary Scale)
Travel Requirement: 60% field travel for data collection; 40% desk-based reporting/support
Position Purpose
To support the mobile CCCM team in accurate, timely, and confidential data collection, reporting, and information management across 27 targeted IDP sites. The Reporting Assistant ensures that activity data, site monitoring outputs, and CFM summaries are systematically documented, verified, and submitted to inform program decision-making, donor reporting, and cluster coordination.
Key Responsibilities & Duties
- Support site monitoring visits by collecting quantitative/qualitative data using standardized tools (Kobo Collect, paper forms, checklists).
- Verify completeness and accuracy of data at point of collection; flag inconsistencies or gaps to Team Leader for follow-up.
- Ensure all data collection respects confidentiality, informed consent, and "do no harm" principles.
- Compile weekly site monitoring summaries, activity trackers, and gap matrices using Excel/Google Sheets templates.
- Support monthly reporting cycles: draft narrative inputs, update indicator tables, and prepare annexes for donor reports (YHF GMS, Activity Info).
- Maintain non-sensitive referral/action trackers to support "closing the loop" documentation (no protection case details).
- Assist IM & Data Assistant in maintaining project databases, ensuring soft/hard copy alignment per DEEM data protection protocols.
- Support generation of simple dashboards or 4W/3W updates for cluster coordination (as requested).
- Archive project documents (reports, meeting minutes, CFM logs) in organized, access-controlled folders (SharePoint/Google Drive).
- Conduct basic data quality checks (completeness, consistency, timeliness) before submission.
- Support internal QA processes: respond to data queries, correct errors, and document lessons for improvement.
- Adhere to DEEM's IM policy, YHF reporting guidelines, and CCCM Cluster data standards.
- Provide administrative support to mobile team: schedule coordination, prepare meeting materials, manage contact lists.
- Liaise with Taiz Office IM Assistant on tool updates, reporting deadlines, or technical queries.
- Contribute to team learning: share field insights, suggest tool improvements, document good practices.
Qualifications & Experience Requirements
Essential
- Diploma or Bachelor's degree in Statistics, Information Management, Social Sciences, or related field.
- Minimum 2 years of experience in data collection, reporting, or MEAL support in humanitarian/development contexts.
- Proficiency in MS Excel (formulas, pivot tables, data validation) and experience with digital data tools (Kobo Collect, ODK, or similar).
- Strong attention to detail, organizational skills, and ability to manage multiple deadlines.
- Fluency in Arabic (native); working English skills for report writing and tool navigation.
Desirable
- Experience with Activity Info, DHIS, or SharePoint in humanitarian reporting.
- Basic understanding of CCCM, Protection, or YHF reporting requirements.
- Training in data protection, ethical data collection, or humanitarian principles.
